ROLE SUMMARY:

  • This role presents an exceptional opportunity within a rapidly expanding, mission-oriented biotech startup. The successful candidate will provide high-level administrative support to senior executives. A keen attention to detail and robust organizational capabilities are essential for managing diverse administrative responsibilities. The ideal individual will demonstrate sound judgment in various situations, possess strong written and verbal communication skills, and effectively balance multiple priorities.

KEY RESPONSIBILITIES:

  • Support the Executive Leadership Team (ELT) with:
  • Efficient calendar management to facilitate seamless daily operations.
  • Resolving scheduling conflicts and coordinating all meeting requests, both in-person and virtual.
  • Proactively anticipating needs prior to meetings, conferences, and engagements.
  • Conducting regular one-on-one meetings with executives to understand their priorities and administrative support requirements.
  • Overseeing the ELT's schedule of one-on-ones with direct reports and facilitating ad-hoc meetings with teams.
  • Coordinating comprehensive travel arrangements, including itineraries and agendas, ensuring all logistics are meticulously detailed.
  • Exercising discretion and tact in handling sensitive and confidential information.
  • Submitting timely and accurate expense reports while tracking receipts as necessary.
  • Managing logistics for events, including venue selection and transportation arrangements.
  • Providing ad-hoc project support as needed.
  • Assisting in-office staff and coordinating functional team meetings.
  • Building strong relationships with the ELT's direct reports to advance organizational priorities.

QUALIFICATIONS:

  • A minimum of 5 years of experience supporting high-level executives, preferably within a C-suite environment.
  • A Bachelor's degree in Business Administration, Management, or a related field is preferred.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple tasks effectively.
  • Strong written and verbal communication skills, capable of engaging and informing through written correspondence.
  • Professional demeanor with a commitment to confidentiality.
  • Proficiency in MS Office Suite, particularly advanced skills in Outlook.
  • A proactive and innovative approach to problem-solving.
  • Ability to thrive in a fast-paced, growth-oriented environment.
