Senior Operations Coordinator

Key Responsibilities:
- Deliver support services that enhance operational efficiency, including but not limited to:
- Monitoring special duty and ad hoc actions.
- Facilitating facilities management.
- Assisting with security operations, including access management.
- Coordinating office security tasks such as badge issuance and visitor management.
- Submitting service requests and tickets.
- Drafting and revising scenarios for operational planning and emergency preparedness.
- Compiling quarterly and annual reports.
- Engaging in Integrated Product Teams (IPTs) and coordination meetings.
- Supporting the Project Manager in high-level meetings.
- Safeguarding and managing Government materials.
- Organizing and aligning meetings, participating in recurring discussions, and preparing meeting minutes.
- Providing comprehensive administrative support for conferences, meetings, and Town Halls, including document preparation.
- Assisting with onboarding processes for new personnel.
- Facilitating required training and tracking compliance with professional development requirements.
- Support and collaborate with other administrative and operations staff to ensure effective office procedures, keeping them informed of updates related to correspondence, reports, forms, training, travel security, and personnel protocols.
- A Bachelor's degree is required, along with a minimum of ten (10) years of direct experience in providing administrative support for conferences and meetings; an additional five (5) years of relevant experience may substitute for educational requirements.
- Detail-oriented with strong technical, verbal, and written communication skills.
- Familiarity with AR 25-50 for document formatting and proofreading.
- Experience managing tasks from higher headquarters, including tracking and closing taskings using the HQDA Task Management Tool.
- Proficient in producing Situational Reports (SITREPS) and briefing materials.
- Skilled in PowerPoint and Adobe software.
- Experience with accounting systems and SharePoint administration.
- Knowledge of office security procedures, including badge issuance and visitor management.
- Must possess a US Government Secret Clearance; US Citizenship is required for clearance eligibility.
- A Bachelor's degree in Business Administration or a related field is preferred.
