Job Summary

This role operates under minimal supervision with latitude for independent action. The Junior Records Coordinator oversees daily operational functions within the Records Department, monitoring IVUE and Maildocs and taking corrective actions with errors in transmission, processing, and CSVs.

Key Responsibilities

• Works independently to correct errors in IVUE and KOFAX, including errors in the mail error folder.

• Assures that all documentation is complete and accurate in accordance with company and applicable regulations and policies.

• Creates forms and converts them to fillable PDFs as needed.

• Assists with the administration of IVUE by entering and deleting documents, ensuring that other affected systems are updated accordingly. Monitors all processing for timely completion.

• Prepares and maintains documents, files, and reports as required.

• Provides training and guidance to vendors to assist them in retrieving shipment documents. Troubleshoots and resolves problems.

Requirements

• Strong attention to detail.

• Excellent organizational skills.

• Ability to multi-task.

• Basic understanding of systems integration and file hierarchy as it pertains to the interrelated systems within the imaging system.

• Knowledge of use and understanding of office equipment.

• Ability to identify different forms of paperwork and understand their purpose.

• Proficient in Adobe Pro.

• Knowledge of Kofax preferred.

• Minimum requirement in Microsoft Outlook, Word, Excel, and PowerPoint of Intermediate Level (higher preferred). Minimum keyboard skill level of 40 wpm.

• High school diploma; or two to three years' related experience and/or training; or equivalent combination of education and experience.

Language Skills

• Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.

• Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.

• Ability to write speeches and articles for publication that conform to prescribed style and format.

• Ability to effectively present information to top management, public groups, and/or boards of directors.

Mathematical Skills

• Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

• Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

• Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

• Ability to deal with problems involving several concrete variables in standardized situations.

Work Environment

This role operates in a professional office environment. The employee routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
