Job Title: Front Office Lead

We are seeking a highly skilled and experienced Front Office Lead to join our team at Pediatric Associates. As a key member of our front office staff, you will be responsible for providing exceptional patient care and ensuring a smooth and efficient experience for our patients and visitors.

Key Responsibilities:
  • Check-in patients upon arrival, updating demographics, insurance information, and collecting co-pays and patient balances.
  • Check out patients, collect additional balances, and provide visit summaries, specialist referral information, and patient portal information.
  • Verify patient insurance through Batch Eligibility or on demand and contact patients whose insurance is not active or PCP is not appropriate.
  • Post patient charges and payments, complete charge and payment reconciliation, and scan and upload documents in our Document Management system.
  • Sort and deliver mail and PA documents received through courier and maintain a clean work area and patient waiting area.
  • Participate in staff and educational meetings.
Requirements:
  • High School Diploma or equivalent required.
  • Prefer one year work experience in a medical office setting, with knowledge of computer and medical terminology desired.
  • Ability to learn and practice Pediatric Associate procedures, policies, and protocols.
  • Proficient grammar, spelling, and verbal skills to communicate with patients, providers, and staff in written documents.
  • Ability to read, comprehend, and follow oral and written instructions.
  • Interact effectively and supportively with staff and maintain a professional working relationship.
  • Provide excellent customer service, greet and receive patients/visitors in a professional and friendly manner.
  • Maintain professional and excellent phone skills and etiquette, must be able to speak clearly and concisely.
  • Use good judgment and maintain patient confidentiality.
  • Must be able to file alpha and numerically.
  • Requires experience in using a computer system, scanner, printer, fax, etc.
Working Conditions:
  • Indoor work.
  • 15%-20% of travel to other office locations as needed with reimbursement outlined per company policy.
  • Designated Medical Receptionist float staff will be assigned to multiple designated office locations as applicable.
