Job Overview

Position Summary

The Facilities Operations Supervisor will oversee the maintenance and management of the building and its associated services, ensuring that all systems, including electrical, plumbing, security, heating, and cooling, are functioning optimally. This role involves direct supervision of internal staff and coordination with external contractors to maintain a safe and efficient environment.

Key Responsibilities:

  1. Assess and coordinate maintenance needs with specialized vendors for plumbing, electrical, fire safety, HVAC, and other essential services.
  2. Supervise the facilities team, including custodians, technicians, and groundskeepers, while managing external service providers.
  3. Ensure cleanliness and upkeep of the facility, addressing maintenance needs as they arise.
  4. Plan and oversee all installation and refurbishment projects, ensuring timely completion and adherence to standards.
  5. Conduct routine maintenance tasks such as painting, furniture relocation, and light bulb replacement.
  6. Coordinate all aspects of building and grounds maintenance and repairs.
  7. Manage landscaping and snow removal operations, ensuring safety and accessibility.
  8. Maintain equipment and supplies to comply with health and safety regulations.
  9. Inspect building structures regularly to identify repair or renovation needs.
  10. Proactively manage ongoing maintenance requirements for the facility.
  11. Drive performance and efficiency from cleaning and maintenance staff to uphold facility standards.
  12. Respond to emergency situations and coordinate necessary actions.
  13. Oversee the scheduling and execution of painting and other aesthetic improvements.
  14. Develop and maintain relationships with third-party vendors for facility support.
  15. Ensure compliance with budgetary constraints related to facility operations.
  16. Prepare detailed reports for senior management regarding facility status and needs.
  17. Implement change, risk, and resource management strategies as required.
  18. Keep accurate records for all inspections and compliance requirements.
  19. Document processes and maintain current operational documentation.
  20. Manage inventory of parts and supplies, ordering as necessary.
  21. Conduct preventative maintenance to ensure all equipment operates effectively.
  22. Perform regular inspections to assess cleanliness and maintenance standards.
  23. Provide training on maintenance and cleaning protocols as needed.
  24. Undertake additional tasks and responsibilities as assigned.

Qualifications:

  • Education: Associate's or Bachelor's degree in a relevant field.
  • Experience: Minimum of 5 years in a management role within property management, engineering, maintenance, or construction in commercial settings.
  • Certifications: HVAC Certification (Required), CFC (Preferred).
  • Military experience of comparable levels is acceptable.
  • Bilingual proficiency in English and Spanish is required.

Work Environment:

This position primarily involves office work, with occasional evening and weekend responsibilities. Regular computer use is expected. Physical demands include standing, walking, sitting, and occasionally lifting up to 50 pounds. The role may require working on ladders and involves specific vision capabilities.
