POSITION SUMMARY:


The Ismaili Council for USA is in search of a detail-oriented professional with exceptional leadership capabilities for the role of Facilities Manager, stationed at the Ismaili Center Houston.

The Facilities Manager will oversee the comprehensive operational effectiveness of the facility, ensuring that the premises are maintained to the highest standards.

KEY RESPONSIBILITIES:

  • Develop, coordinate, and uphold exemplary facilities management practices to ensure optimal resource utilization and maintain the distinguished architectural integrity of the Ismaili Center Houston.
  • Foster a culture of innovation and proactive management in building operations.
  • Implement and uphold rigorous facilities maintenance protocols, covering building structure, repairs, system upgrades, while ensuring adherence to health, safety, and environmental regulations.
  • Guarantee a secure environment for all stakeholders, including community members, visitors, suppliers, and staff.
  • Adopt strategies to align with sustainability initiatives, aiming for carbon neutrality.
  • Collaborate closely with the Property Matters Portfolio Member and the National Council's Security Member.

Maintenance and Repairs:

  • Assist in budget preparation, monitor facility expenditures, and ensure fiscal responsibility throughout the year, making necessary adjustments as required.
  • Establish and train team members on an automated maintenance management system to manage service requests, preventive maintenance schedules, and reporting.
  • Create and implement a comprehensive year-round maintenance strategy and standard operating procedures.
  • Ensure the facility operates efficiently with all utilities and systems functioning optimally.
  • Proactively address building maintenance issues and make timely decisions for resolution.

Landscaping Oversight:

  • Supervise the maintenance and care of all landscaping activities by managing groundskeepers and landscaping personnel.
  • Conduct regular consultations with horticulturists to implement recommendations for the upkeep of healthy flora.
  • Oversee preventative measures for landscaping and building maintenance following significant weather events.

Security Management:

  • Direct and manage all security protocols for the Center.
  • Oversee access control systems, including cards, codes, and keys.
  • Train and supervise front desk personnel and security staff.
  • Provide front desk staff with essential information regarding guests, events, and meetings.
  • Manage safety protocols and fire evacuation strategies for the facility.

Event Coordination:

  • Coordinate heating, cooling, lighting, and logistical support for various programming events.
  • Provide setup and teardown assistance for events, including audio/visual and hospitality needs.

Team Management:

  • Recruit, train, and deploy volunteers for various maintenance and special projects.

Facility Administration:

  • Maintain an inventory of all furniture, fixtures, and artwork.
  • Support contract negotiations and administration related to facility operations.
  • Oversee housekeeping and waste management services.
  • Ensure compliance with local and state safety regulations.
Systems Operations

  • Establish processes to evaluate systems performance and address issues promptly.
  • Maintain an updated inventory of plans, specifications, and performance records.
  • Implement strategies to optimize equipment lifespan and reduce energy consumption.
  • Develop emergency response protocols for equipment failures.
  • Research and recommend advancements in facilities management technology and practices.

QUALIFICATIONS:
This role requires exceptional management skills and a composed demeanor, specifically:

  • Bachelor's degree in Engineering (Civil) or Property Management is preferred.
  • IFMA Certified Facility Manager (CFM) credential is highly regarded.
  • 7-10 years of relevant experience in facilities management.
  • Strong understanding of building management systems and safety protocols.
  • Experience in vendor management and contract negotiations.
  • Ability to manage multiple projects and meet deadlines effectively.
  • Knowledge of volunteer and program management is advantageous.
  • Proven leadership and team management skills.
  • Strong analytical and organizational abilities.
  • Excellent communication skills, both verbal and written.
  • Fluency in English with the ability to engage with senior management.
  • Team-oriented individual who can work independently.
  • Proficient in computer applications for project management and reporting.
