Job Summary

The Human Resources Coordinator will provide administrative support to the Human Resources Department, including coordinating administrative responsibilities, maintaining HRIS systems, and performing a wide variety of administrative tasks.

Key Responsibilities
  • Administrative Support: Provide administrative support to the Vice President of Human Resources, including preparing offer letters, status letters, and new hire paperwork.
  • HRIS Management: Maintain and update HRIS systems, including preparing and processing new employee orientation packets, revising job descriptions, and coordinating the signature and filing of new job descriptions.
  • Criminal Background Checks: Manage and perform criminal background checks, FBI checks, motor vehicle record checks, and child abuse clearance checks for staff and volunteers.
  • File Maintenance: Maintain files on licensure information for all professional staff and medical testing information for all staff and volunteers.
  • Identification Badges: Prepare and distribute identification badges and order nameplates and business cards.
  • Performance Evaluations: Prepare, distribute, and track organization performance evaluations and clinical competency assessments.
  • HR Function Support: Provide administrative support for human resource functions, including correspondence generation, record-keeping, file maintenance, and HRIS entry.
  • UPTO and Call Off Reports: Maintain and update unscheduled paid time off and call off reports for discrepancies and notify supervisors as needed.
  • ACA and EEOC Reporting: Track and complete Affordable Care Act and Equal Employment Opportunity Commission reporting requirements.
  • HR Paperwork: Ensure all HR paperwork is appropriately scanned, filed, and maintained.
  • Hospice Certification Exam: Manage the hospice certification exam notification, reimbursement, results, and certification paperwork.
  • Staff Massage Therapist Schedule: Coordinate the staff massage therapist schedule.
  • Employee Infection Control Tracking: Distribute and record employee infection control tracking logs for the quality and compliance department and compile and distribute quarterly reports.
  • Flu Shot Consent Forms: Manage the paperwork for flu shot consent forms and flu shot declination forms.
  • Employee Activities and Appreciation Committee: Serve as an active member on the Employee Activities and Appreciation Committee and help coordinate various activities.
  • Summer Fruit Distribution: Coordinate and manage summer fruit distribution from Memorial Day to Labor Day.
  • HR Volunteers: Manage human resource volunteers.
  • Benefit Insurance Invoices: Reconcile monthly benefit insurance invoices.
  • Employee Recognition and Service Awards: Administer employee recognition and service award programs.
  • Educational Assistance Reimbursement Program: Manage the Educational Assistance reimbursement program.
  • HR Manager Support: Serve as backup for and a support to the HR Manager by helping to process FMLA, insurance enrollments, changes, and terminations as necessary.
  • Payroll Processing: Serve as backup for payroll processing responsibilities.
  • HR Policies: Responsible for understanding HR policies and providing appropriate clarification to employees as necessary.
