We are seeking a full-time, on-site Accounting Assistant who possesses a keen attention to detail and the ability to manage multiple tasks effectively. The ideal candidate will have a proven track record in maintaining organized financial records, reconciling accounts, and collaborating closely with the Accounting Specialist on billing and compensation tasks.

  • Work Schedule: Monday - Friday, 8 am to 5 pm
  • Compensation: Competitive hourly rate based on experience
  • Health Benefits: Commence the first of the month following your hire date
  • PTO: Accrual begins from day one
Your Daily Responsibilities:
  • Oversee accounts payable and receivable utilizing accounting software and related applications.
  • Prepare and reconcile comprehensive revenue spreadsheets.
  • Calculate discounts and accurately enter and categorize general ledger transactions.
  • Process revenue invoices for customers and national accounts.
  • Review and validate invoices, ensuring all necessary documentation is present prior to payment.
  • Analyze expense reports, purchase orders, pricing, payment terms, and other charges.
  • Ensure timely and accurate payment of invoices through weekly check runs and ACH, adhering to departmental protocols.
  • Prepare daily vendor ACH payments.
  • Process employee travel expense reimbursement requests.
  • Conduct credit card reconciliations.
  • Address inquiries from vendors and customers via phone and email.
  • Provide clerical and administrative assistance to management as needed.
Qualifications:
  • High school diploma or equivalent; an associate degree is preferred.
  • Current experience in accounts payable and receivable posting and reconciliation.
  • Strong mathematical skills and comfort with calculations.
  • Proficient in Microsoft Office applications.
  • Excellent customer service and interpersonal skills.
  • Proven ability to manage time effectively, multitask, and meet deadlines in a dynamic environment.
