Event Project Coordinator

The Project Manager (PM) collaborates closely with Account Managers and Account Executives, as well as graphic design, production, detailing, warehouse, and shop teams, serving as the central hub for workflow and communication across all production facets of projects. The PM is tasked with ensuring that projects are delivered efficiently, punctually, and within budgetary constraints.
Key Responsibilities:
- Manage the complete lifecycle of projects, ensuring costs are met or exceeded while fulfilling stakeholder expectations.
- Maintain comprehensive inventories for all client components.
- Oversee relationships with external production vendors and internal teams to ensure timely deliverables.
- Lead and participate in essential meetings to guarantee project success; conduct Quality Assurance Meetings to address outstanding items and collaborate with Account Managers on project status.
- Assist the production manager in ordering necessary materials in a timely manner.
- Act as the primary contact for on-site supervisors regarding production inquiries or challenges, and serve as on-site supervisor when required.
- Facilitate all CAD meetings and drive the CAD/production launch process to ensure effective project initiation, providing each department with the information needed to adhere to the approved timeline.
- Oversee the detailing and graphic production processes, ensuring that estimates, proofs, and approvals are delivered on schedule.
- Collaborate with the warehouse manager to complete inspection reports within a specified timeframe after event closure, and prepare a detailed report for clients.
- Implement quality control measures through diligent attention to project specifics, regular interaction with operational departments, and adherence to QC procedures for all deliverables.
- Ensure effective communication and provide critical information essential for project success, delivering solutions to maintain client satisfaction.
Qualifications:
- Experience in trade shows is highly advantageous; a minimum of 8 years in project management is preferred.
- Thorough understanding of the tradeshow industry and associated construction methodologies.
- Excellent verbal and written communication skills.
- Ability to operate independently in a dynamic environment while managing multiple projects simultaneously.
- Strong attention to detail, organizational skills, and interpersonal abilities.
- A collaborative team player with a proactive problem-solving approach.
- Proficiency in MS Excel is required.
- Willingness to travel occasionally as needed.
