Summary and Purpose:
The Graduate Programs Recruitment Specialist plays a crucial role in the management and support of graduate-level academic initiatives at Aquinas College. This position focuses on attracting prospective graduate students, overseeing essential administrative tasks, collaborating with faculty members, and enhancing student services to ensure the effective operation of graduate programs.

Key Responsibilities:

  • Develops and implements recruitment strategies to generate interest and applications from prospective students, which may require flexibility in scheduling, including evenings and weekends.
  • Organizes employer visits and represents the college at graduate and career fairs.
  • Provides exceptional customer service by addressing inquiries from prospective and current students through various communication channels, including online, phone, and in-person interactions.
  • Manages graduate program data, including processing applications, maintaining databases, and tracking academic records such as transcripts and standardized test scores.
  • Prepares and sends correspondence regarding student status updates.
  • Assists with the administration of independent study courses and related processes.
  • Facilitates assessments and organizes course auditing for students.
  • Collaborates with student accounts to resolve billing issues and manage financial arrangements.
  • Coordinates the processing of Independent Student Contracts and assists students with modifications to their learning plans.
  • Documents and manages Lifetime Experience credits.
  • Works closely with various college offices to ensure smooth commencement processes for graduate students.
  • Participates in advisory groups for registrar-related projects and training.
  • Creates and distributes marketing materials to corporations and prospective students, and coordinates information sessions.
  • Provides guidance to international students regarding visa applications and coordinates necessary documentation for faculty meetings.
  • Arranges logistics for study abroad programs.
  • Oversees course registration, including managing course additions and drops for graduate students.
  • Assists with scholarship applications and related processing.
  • Supports student meetings, schedules, and reimbursement processes.
  • Acts as the Michigan Intercollegiate Graduate Studies (MIGS) liaison for graduate management programs.
  • Performs additional duties as assigned.

Faculty Support:

  • Facilitates communication between students and faculty members.
  • Proctors examinations and coordinates meetings and events for graduate programs.
  • Assists new adjunct faculty with resource connections and supply needs.
  • Collects and tracks syllabi for graduate management courses.
  • Coordinates events for undergraduate business programs as needed.
  • Provides technical support for adjunct faculty with electronic devices.
  • Manages various projects and tasks for adjunct professors.

Qualifications:

  • Bachelor's degree required; Master's degree preferred.
  • Preferred experience in higher education.
  • Minimum of 2 years of administrative experience required.
  • Knowledge of academic program development and admissions processes is advantageous.
  • Excellent verbal and written communication skills are essential.
  • Strong organizational skills to manage multiple responsibilities and maintain accurate records.
  • Proficiency in office software and databases used in educational settings is necessary.
  • Ability to perform essential job functions with or without reasonable accommodations.
