Operations Executive

The Director of Operations plays a pivotal role in steering market expansion and optimizing operational workflows. This position is tasked with mentoring and guiding Center Administrators to enhance daily operations, elevate patient care standards, and improve client satisfaction.
Key Responsibilities:
- Lead the operations team in initiatives aimed at continuous improvement, utilizing performance metrics for analysis.
- Oversee financial management for the region, including reviewing financial statements and assisting in the preparation of annual budgets.
- Analyze regional performance trends and develop strategic action plans for improvement.
- Address and manage disciplinary matters in consultation with senior management and human resources.
- Empower Center Administrators to assess and refine center processes to enhance the patient experience.
- Ensure adherence to center programs and policies, maintaining accountability across operations.
- Manage staffing and scheduling, focusing on effective recruitment, training, and disciplinary actions, while optimizing personnel costs.
- Conduct regular visits to clinics, providing leadership support as needed.
- Proactively resolve client-related issues and concerns.
- Supervise the upkeep of equipment and inventory of daily supplies.
- Collaborate with various departments, including Medical, Physical Therapy, Human Resources, Business Development, Billing, and IT, to improve clinic performance.
- Ensure accurate maintenance of patient records, complying with company standards and regulations.
- Establish and monitor quality assurance programs, reporting regularly to senior management.
- Participate in succession planning and talent management, including interviewing and hiring processes.
- Regularly evaluate clinic compliance with policies and safety standards.
- Review clinic activities and track progress towards established goals.
- Perform additional duties as assigned by management.
Essential Skills:
- Commitment to service excellence and adherence to established operational standards.
- Experience in recruitment, coaching, and performance management.
- Proficient in computer applications, particularly Microsoft Word and Excel.
- Able to prioritize and manage multiple tasks in a dynamic environment.
- Strong problem-solving skills with the ability to develop and implement action plans.
- Financial acumen with practical application in operational settings.
- Ability to translate strategic goals into actionable initiatives.
- Results-driven with a focus on effective resolution.
- Proficient in team leadership, conflict resolution, and mentoring.
- Knowledge of HIPAA guidelines and safety regulations.
- Skilled in planning and collaborating with cross-functional teams.
- Strong organizational and leadership capabilities.
- Excellent verbal and written communication skills.
Qualifications:
- A minimum of 5 years of experience in multi-site clinical management, preferably in occupational or urgent care settings.
- A Bachelor's degree is preferred; a high school diploma or equivalent is required.
