We are currently in search of a committed, professional, and skilled Facilities Operations Specialist to enhance our dynamic workforce. The ideal candidate will demonstrate proactive multitasking abilities and possess hands-on expertise in fostering a safe and healthy environment.

Position Summary
The Facilities Operations Specialist will oversee the cleanliness, safety, and operational functionality of both internal and external premises. Key responsibilities include ensuring well-maintained grounds, implementing security protocols, coordinating deliveries, and maintaining surveillance systems. Duties also encompass physical plant maintenance, equipment servicing, site traffic management, and delivery logistics to ensure a secure and efficient environment.

Core Responsibilities

Physical Plant Management

  • Conduct daily tasks to uphold clean, safe, secure, and well-maintained grounds.
  • Clear debris from buildings, parking areas, entrances, and landscaping.
  • Ensure custodial maintenance of all facility areas, including offices, restrooms, and communal spaces, to guarantee regular cleaning and adequate supplies.
  • Provide timely notifications regarding potential hazards, malfunctions, and maintenance needs to the COO.
  • Perform janitorial duties, routine maintenance, and minor repairs.
  • Identify larger cleaning, repair, and structural issues for professional attention.
  • Maintain rigorous workplace safety standards and hazard awareness.

Grounds Maintenance

  • Ensure the premises are aesthetically pleasing, including parking lots and surrounding pedestrian and vehicle traffic areas.
  • Execute seasonal and general maintenance tasks; perform snow removal, landscaping, and general upkeep; arrange for contracted services for larger needs.
  • Oversee waste management, recycling, water delivery, lawn care, landscaping, pest control, seasonal services, and outdoor equipment maintenance.
  • Report any hazards, safety concerns, or adverse weather conditions.
  • Ensure outdoor lighting is functional and pathways are safe.
  • Provide basic maintenance support and property repairs, coordinating with external service providers for specialized work.

Security Surveillance

  • Ensure gates, cameras, and alarm systems are fully operational.
  • Inspect and maintain the integrity of fences, gates, and other outdoor structures.
  • Secure the property's boundaries to prevent unauthorized access and promptly report any vulnerabilities.

System Monitoring & Reporting

  • Conduct routine checks on HVAC, fire detection and suppression systems, security surveillance, first aid kits, locking mechanisms, security gates, and internet connectivity.
  • Document system performance and promptly report technical issues.
  • Identify unauthorized access and system vulnerabilities.
  • Provide timely notifications of potential hazards, malfunctions, interruptions, and restoration plans.
  • Detect malfunctioning, defective, or unsecured devices.

Logistics Coordination

  • Coordinate scheduling, tracking, and receipt records for incoming and outgoing shipments.
  • Ensure secure storage for incoming packages and deliveries with prompt notifications to recipients.
  • Manage unloading and loading of delivery shipments, ensuring proper handling and storage.
  • Operate telehandlers for moving pallets and bulk items in designated secure areas.
  • Collaborate with other departments on delivery schedules for seamless operations.
  • Facilitate visitor coordination and premises access control for deliveries and service appointments.

Organizational Duties

  • Manage supply utilization, restocking, and inventory tracking.
  • Implement maintenance schedules and checklists for buildings and grounds.
  • Prepare reports on groundskeeping, system checks, maintenance/service calls, and security incidents as needed.
  • Manage receipts and report expenditures for third-party services, labor, supplies, and equipment to ensure operational efficiency.
  • Maintain adequate inventory of cleaning supplies, tools, and equipment.
  • Facilitate ordering and stocking requests while ensuring efficient use of supplies.
  • Track custodial equipment, scheduling maintenance, and replacing items as necessary.
  • Perform other related duties as assigned.

Qualifications
At least 3 years of hands-on experience in building maintenance, custodial property management, groundskeeping, or a similar role is preferred; experience in highly regulated environments, such as cannabis facilities, is advantageous.

Basic technical skills and systems knowledge to maintain HVAC systems, electrical systems, plumbing, and other building systems; experience with construction, general contracting, or as a licensed handyperson is beneficial.

Ability to perform physical tasks associated with facility maintenance, such as lifting, climbing, and manual labor.

Relevant certifications such as Certified Facility Manager (CFM) or Facilities Management Professional (FMP) are a plus.

Specific certification related to HVAC, electrical, or plumbing is advantageous.

Expectations
Must be able to lift, carry, and balance up to 50 pounds (90+ pounds with assistance).

Comfortable working outdoors and in varying conditions, including exposure to seasonal weather and potential allergens.

Basic knowledge of building systems, maintenance, and repairs.

Understanding of workplace safety and hazard prevention practices.

Proactive problem-solving skills and the ability to work independently.

Ability to build solid working relationships with external providers for timely responses.

Detail-oriented with a focus on maintaining a safe and efficient facility.

Flexibility to adapt to changing priorities and environments.
