Position Summary
The Facilities Coordinator is responsible for ensuring the cleanliness, safety, and operational efficiency of both internal and external premises. The ideal candidate will exhibit proactive multitasking abilities and hands-on expertise in fostering a secure and healthy environment.

Key Responsibilities

Facility Maintenance

  • Conduct daily activities to uphold clean, safe, and well-maintained grounds.
  • Remove debris from buildings, parking areas, entrances, and landscaping.
  • Ensure custodial upkeep of all facility areas, including offices, restrooms, and communal spaces.
  • Promptly notify management of potential hazards, malfunctions, or repair needs.
  • Perform routine cleaning, maintenance, and minor repairs.
  • Identify larger cleaning and repair issues requiring professional attention.
  • Adhere to stringent workplace safety standards and maintain hazard awareness.

Grounds Maintenance

  • Maintain a well-manicured appearance of the premises, including parking lots and pedestrian areas.
  • Execute seasonal upkeep tasks such as snow removal and landscaping.
  • Oversee waste management, recycling, and outdoor equipment maintenance.
  • Report hazards, safety concerns, or adverse weather conditions.
  • Ensure outdoor lighting is functional and pathways are safe.
  • Coordinate with external service providers for specialized maintenance work.

Security Surveillance

  • Ensure the operational integrity of gates, cameras, and alarm systems.
  • Maintain the security of fences and outdoor structures.
  • Monitor property boundaries to prevent unauthorized access and report vulnerabilities.

System Monitoring & Reporting

  • Conduct routine checks on HVAC, fire safety systems, and security measures.
  • Document system performance and report technical issues promptly.
  • Identify security vulnerabilities and unauthorized access concerns.
  • Notify management of hazards, malfunctions, and restoration plans.

Logistics Coordination

  • Manage scheduling and tracking of incoming and outgoing shipments.
  • Ensure secure storage and prompt notification for incoming deliveries.
  • Oversee the unloading and loading of shipments, ensuring proper handling.
  • Collaborate with departments to ensure seamless delivery operations.

Organizational Duties

  • Track supply utilization and maintain inventory levels.
  • Implement maintenance schedules and checklists for facilities.
  • Prepare reports on maintenance, service calls, and security incidents.
  • Manage expenditures for third-party services and supplies.

Qualifications
Preferred candidates will have a minimum of 3 years of hands-on experience in facility maintenance, custodial management, or groundskeeping. Experience in regulated environments is advantageous. Basic technical skills in HVAC, electrical, and plumbing systems are required, with relevant certifications being a plus.

Expectations
Candidates must be able to lift and carry up to 50 pounds, work outdoors in varying conditions, and possess a basic understanding of building systems and safety practices. Proactive problem-solving skills and the ability to work independently are essential.
