This position seeks a dedicated, detail-oriented, and proactive individual with proven experience in administrative support to facilitate the company's business development initiatives and team operations.

The successful candidate will excel in a dynamic environment with competing priorities and will collaborate closely with the business development and marketing teams, as well as other departments within VJS Construction Services, Inc.

KEY RESPONSIBILITIES:

  • CRM Management and Research:
  • Oversee and maintain the daily operations of the Cosential CRM system, ensuring accurate updates regarding personnel, business development prospects, and project details.
  • Monitor and coordinate the renewal processes for all employee professional certifications and licenses.
  • Document and track employee community engagement, facilitating connections to community service opportunities and board positions.
  • Conduct research related to business development and compile statistics as needed.
  • Administrative Support:
  • Provide assistance to the Marketing and Business Development teams.
  • Organize meetings and arrange travel and accommodation logistics for business development activities.
  • Coordinate events specific to business development.
  • Manage participation and payment processes for event sponsorships and awards.
  • Support the planning of internal events such as company gatherings and celebrations.
  • Take minutes during various marketing and business development meetings and distribute them accordingly.
  • Assist with the organization of holiday gifts and greeting cards for clients and prospects.
  • Help plan the VJS Community Foundation Annual 5K event and Annual Golf Outing, and provide backup support at events, trade shows, and dinners representing VJS.
  • Perform additional administrative tasks as required.

REQUIREMENTS:

  • Bachelor's degree or equivalent professional experience.
  • Proficient in Microsoft Office Suite, including Teams and Zoom.
  • Experience in managing multiple tasks, administrative coordination, and logistical support.
  • Skilled in organizing and managing mileage, expense, and credit card reports and receipts.
  • Highly organized, detail-focused, and capable of multitasking with strong follow-up abilities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and meet deadlines.
  • Minimum of 5 years of relevant experience; experience in the A/E/C industry is preferred.
