Job Summary:

The Business Manager will be responsible for providing comprehensive financial analysis, planning, and support for the Colton Center's research initiatives and operations. This role will work closely with research teams, leadership, and external stakeholders to ensure optimal financial management and resource allocation.

Key Responsibilities:
  • Assist the Director of Finance in developing and implementing annual operating budgets for general unrestricted and school-designated funds.
  • Provide daily ongoing oversight of expenditures, develop and maintain quarterly reports and projections, and assist with the preparation of annual operating budgets.
  • Oversee procard reconciliation processes, perform initial concur reviews, initial purchase order reviews, and manage budget-to-actual variances, providing recommendations for corrective actions.
  • Maintain salary grids and provide recommendations for corrective actions.
  • Assist the Director in conducting cost analysis for service centers and processing units, including setting rates, monitoring expenditures, tracking cohorts, and creating/maintaining annual budgets.
  • Serve as the liaison with Audit and Compliance, responding to inquiries and providing documentation and backup for processes related to purchasing, travel, human subject payments, and payments to non-Penn individuals using existing policies in place.
  • Complete foreign finance reporting, including quarterly BE-125 reporting and annual Schedule F reporting.
  • Represent the business office at appropriate University meetings, such as the monthly Association of Business Administrators meeting, as well as other financial and project-related meetings.
  • Maintain knowledge and understanding of University financial policies and procedures, interpreting and effectively communicating changes to existing policies and the development of new policies.
Qualifications:
  • Bachelor's degree with 3-5 years of related experience or equivalent combination of education and experience is required.
  • Expected competencies include excellent organization, strong detail orientation, and follow-through.
  • Demonstrated ability to manage time effectively with multiple projects on different timeframes, ensuring all deadlines are met.
  • Demonstrated ability to deal with highly confidential information and act as a liaison between senior management and other constituencies, both internal and external.
  • Excellent communication skills.
  • Strong computer/technology skills.
  • Previous experience working within an academic research institution is preferable.

Position is contingent upon continued funding.
