Property Administrative Assistant

The Property Administrative Assistant plays a vital role in supporting the Property Management team and the portfolio of properties. This position requires excellent organizational and communication skills to ensure seamless day-to-day operations and maintenance.
Key Responsibilities:
- Communicate effectively with tenants and vendors to ensure timely resolution of issues.
- Coordinate repairs and tenant improvements to maintain the properties' condition.
- Prepare lease summaries and updates to ensure compliance with regulations.
- Maintain accurate tenant contact information and review it regularly for updates.
- Prepare lease files and associated tracking and documentation to ensure efficient record-keeping.
- Assist with budgeting and financial planning to ensure the company's financial stability.
- Conduct property inspections as needed, which may require travel, to identify areas for improvement.
- Within the property management department:
- Review and code invoices to ensure accurate financial records.
- Track vendor and tenant insurance certificates to ensure compliance.
- Monitor utilities to optimize energy efficiency.
- Prepare property management meeting minutes to facilitate decision-making.
- Schedule quarterly HVAC appointments and oversee maintenance of M/Q/S/A systems.
- Track tenant HVAC compliance to ensure a comfortable living environment.
- Maintain accurate property maintenance records to inform future decisions.
- Track tenant sales to monitor market trends and adjust strategies accordingly.
Requirements:
- High School Diploma or Equivalent
- Minimum of two (2) years of previous experience in a similar role
- Excellent communication and analytical skills
- Proficiency in Excel, Word, Outlook, and PowerPoint
- Strong organizational and time management skills
- Customer service orientation and presentation skills
- Ability to work independently and within a team
- Valid driver's license, vehicle insurance, good driving record, and reliable vehicle

- Bachelor's degree in Business Administration or closely related field

- Specific vision abilities required, including close vision, distance vision, peripheral vision, and ability to adjust focus
- Prolonged exposure to viewing a computer screen
- Occasionally lift and/or move up to 20 pounds
- Low to moderate noise level in the work environment
- Must be able to travel (25%) within the metropolitan area
