Job Summary

This position is responsible for providing operational, facilities, and administrative support to the Indianapolis Airport Authority. The successful candidate will work closely with the General Manager and other departments to ensure the smooth operation of the airport.

Key Responsibilities
  • Coordinate and support the Treasurer on operational matters, including budgeting, forecasting, and tracking.
  • Provide operational data for monthly financial reports and warehouse reconciliation.
  • Resolve disputes related to outstanding balances.
  • Manage office files, including legal documents, and maintain confidentiality.
  • Manage access key inventory and office supplies.
  • Coordinate mail pick-up and deliveries.
  • Complete business expense reimbursement forms for staff.
  • Assist in the administration and research of Lease and Service Provider Agreements.
  • Manage and maintain content in the airport's database.
  • Participate in marketing presentations and create marketing materials.
  • Conduct annual audits to ensure federal operating compliance.
  • Operate the public warehouse, including scheduling pick-ups and deliveries.
  • Research new and potential customers and coordinate introduction meetings.
  • Support the Property Director with contract terms compliance.
  • Coordinate data entry for Capital budgets.
  • Run various reports on a weekly/monthly basis.
  • Create, track, and coordinate purchase orders.
Requirements
  • Graduation from an accredited college or university.
  • Advanced experience in computer software, including Microsoft Office.
  • Ability to perform all physical and cognitive tasks outlined in the job description.

  • Physical Demands: While performing the duties of this position, the employee is required to walk, sit, use of hands to finger, handle, or feel objects, reach with hands and arms, balance, stop, talk or hear. The employee must occasionally lift and/or move up to 25+ pounds or more.
  • Work Environment: This position is performed within an office environment at least 80% of the time. The other 20% the employee will be exposed to weather conditions prevalent at the time. With multiple worksites, the noise level varies from the office environment and the outside environment.
