Key Responsibilities:
- Maintain accurate and up-to-date records and files electronically and physically for subcontractors and clients.
- Prepare and edit documents and agreements per instructions, ensuring compliance with company policies and procedures.
- Oversee Secretary of State registrations and annual reports for multiple entities in multiple jurisdictions.
- Handle, update, and coordinate minority-owned business certifications for multiple entities in multiple jurisdictions.
- Collate and track documents and projects related to immigration, ensuring timely completion and accuracy.
- Prepare employment verification and visa letters for subcontractors, maintaining confidentiality and attention to detail.
- Respond to inquiries, subpoenas, or other requests for records, providing accurate and timely information.
- Request, store, and keep track of Certificate of Insurance records, ensuring compliance with company policies.
- Establish and maintain a password-tracking system, ensuring secure access to sensitive information.
- Format and coordinate signatures on contracts or legal documents, ensuring accuracy and compliance.
- Prepare correspondence and filing documents, maintaining a high level of organization and attention to detail.
- Assist with onboarding and other matters relating to subcontractors, ensuring a smooth transition and compliance with company policies.
- Track deadlines and coordinate completion of department projects, ensuring timely completion and accuracy.
- Ensure that work follows legal requirements, best practices, and internal policies and procedures, maintaining a high level of integrity and professionalism.
- Participate in administrative staff meetings and other departmental meetings as needed, providing input and feedback.
- Perform various other tasks as assigned, demonstrating flexibility and a willingness to learn and adapt.
Requirements:
- High school diploma or equivalent.
- Certificate of completion from an ABA-approved paralegal certification program of education and training or an associate degree in paralegal studies.
- 3+ years of paralegal experience, with a strong understanding of document management and administrative procedures.
