The Graduate Program Administrative Coordinator plays a crucial role in the effective management and administration of academic programs within the College of Dentistry. This position requires an experienced professional with a robust background in academic program coordination, student services, and project management.

Key Responsibilities:

  • Oversee daily operations of the Office of Graduate Studies in the College of Dentistry; develop, maintain, and enhance office processes including admissions for dental residents and graduate students, resident licensing, and a comprehensive onboarding process involving various offices across the campus.
  • Collaborate with the Associate Dean and Program Directors to manage and process graduate course registrations; provide academic support to graduate faculty.
  • Monitor grades and maintain quarterly progress reports to ensure compliance with accreditation standards; organize and facilitate new graduate student orientation.
  • Perform administrative duties such as taking minutes, maintaining files, and drafting correspondence; oversee fee authorizations for graduate students and GTAs.
  • Provide scheduling support for the college accreditation process; serve as a central point of contact for over 100 graduate students/residents, assisting in resolving complex student issues.
  • Participate in regular on-campus training and meetings to enhance professional skills and stay informed about higher education trends and policy changes.
  • Act as a liaison for the college, executing triannual GTA WorkDay pay entry and representing the office on various committees.

Additional Duties:

  • Serve as the primary contact for the Graduate School regarding graduate programs; track completion of degree requirements and intervene to prevent missed deadlines.
  • Solicit nominations for fellowships and oversee the review and selection process.
  • Manage graduate curriculum processes including course creation and modification.
  • Provide fiscal guidance related to graduate programs and logistical support for interdisciplinary graduate courses.
  • Collect and analyze assessment data for graduate programs and execute duties related to college committees and strategic initiatives.
