The Graduate Program Administrative Coordinator is essential in facilitating the effective management and administration of academic programs within the College of Dentistry. This role requires a skilled professional with extensive experience in academic program coordination, student services, and project management.

Key Responsibilities:

  • Oversee daily operations of the Office of Graduate Studies in the College of Dentistry, enhancing office processes related to admissions for dental residents and graduate students.
  • Collaborate with the Associate Dean and Program Directors to manage graduate course registrations and provide academic support to faculty.
  • Monitor student progress, ensuring compliance with accreditation standards and maintaining quarterly progress reports.
  • Organize and conduct new graduate student orientation, manage office tasks such as minute-taking, file maintenance, and correspondence.
  • Administer fee authorizations for graduate students and Graduate Teaching Assistants (GTAs), and oversee fee statements.
  • Support the college's accreditation process through administrative and scheduling assistance.
  • Act as a central point of contact for over 100 graduate students/residents, addressing complex student issues in collaboration with other campus offices.
  • Participate in ongoing professional development through training, meetings, and events to stay informed on higher education trends and policy changes.
  • Represent the office and college on various committees, providing feedback related to office practices and constituents.

Additional Duties:

  • Serve as the primary liaison for the Graduate School regarding graduate programs, ensuring timely completion of degree requirements.
  • Manage nominations and selections for the Pauline Wittwer Graduate Fellowship.
  • Oversee graduate curriculum management, including course creation and modifications.
  • Provide fiscal guidance to the business and finance office regarding graduate programs.
  • Facilitate logistical support for graduate courses involving multiple residency programs.
  • Collect and analyze assessment data for graduate programs to evaluate effectiveness.
  • Engage in strategic initiatives and committee work to promote professional development and cross-training within the college.
