Job Overview

The Regional Operations Executive oversees a designated collection of properties as assigned by the Branch President and Vice President of Operations. This role encompasses the authority to lead a team of Community Association Managers within the specified portfolio, focusing on employee and client retention as well as growth. The Executive is tasked with acquiring an in-depth understanding of the properties in their portfolio and establishing a consistent visitation and communication strategy to engage with on-site management, staff, and clients. This position is pivotal in enabling and executing processes, procedures, and systems related to company-wide project initiatives. The Executive will guide operations and accounting personnel in addressing client concerns and collaborating with other departments to enhance client services and support the management team. Ensuring that the company's offerings meet or surpass client expectations is a fundamental responsibility.

SUPERVISORY DUTIES:
  • Foster and maintain constructive relationships while effectively communicating with leadership and support teams. Mentor and guide team members.
  • Provide oversight, training, and supervision for management, administrative, and support staff.
  • Establish a proactive communication schedule to ensure consistent engagement with clients.
  • Assess staffing requirements and oversee the onboarding and training processes.
  • Conduct Performance Planning Reviews and regular check-ins with management personnel within the portfolio.
  • Directly manage action plans aimed at retaining at-risk clients, including attendance at meetings and account support, up to and including transitions to new managers and follow-ups with clients and staff.
  • Recruit, interview, hire, train, and develop the Property Management team.
  • Collaborate with the Property Manager and Director of Finance to formulate and manage the Portfolio Budgets.
  • Assist in resolving escalated service challenges.
  • Administer disciplinary actions and terminations in accordance with company policy.
KEY RESPONSIBILITIES:
  • Conduct weekly site inspections of each property within the assigned portfolio.
  • Collect and assess weekly management reports from properties.
  • Review and analyze monthly financial statements for properties, including budget versus actual evaluations as necessary.
  • Participate in client Board Meetings as required.
  • Engage in meetings with individual clients and prospective clients as needed.
  • Ensure timely reporting and communication to leadership regarding client and team performance within the portfolio.
  • Oversee the financial implications of operations for the Branch.
  • Ensure the team delivers materials to clients as per contractual obligations.
  • Guarantee adherence to company programs, information, and directives.
  • Participate in and oversee internal controls and management standards.
  • Promote and exemplify the Branch and Associa's core values and objectives.
  • Maintain knowledge of relevant state statutes.
  • Familiarity with all Associa operating systems and programs.
  • Utilize conflict resolution techniques effectively.
  • Perform other related duties as assigned.
Qualifications:
  • Exceptional verbal and written communication abilities.
  • Strong time management and prioritization skills.
  • Proven supervisory and leadership capabilities.
  • 7-10 years of on-site management experience in a full-service condominium association.
  • Proficient understanding of GAAP.
  • Extensive knowledge of principles, procedures, and best practices in the Residential/Community Management sector.
  • Excellent organizational skills and meticulous attention to detail.
  • Strong analytical and problem-solving capabilities.
  • Proficient in Microsoft Office Suite or similar software.
  • Self-motivated and proactive in approach.
  • Willingness and ability to travel regularly within the assigned portfolio/region.
  • Ability to maintain a professional demeanor and appearance consistently.
  • Strong organizational skills, time management, and prioritization abilities.
  • Commitment to staying informed about state and regulatory agency statutes.
