Position Overview: At Houston Methodist Baytown Hospital, the Radiology Administrative Coordinator plays a crucial role in managing essential administrative tasks that enhance the patient experience. This includes overseeing patient check-in and check-out processes, handling telephone inquiries, and welcoming visitors.

Key Responsibilities:

  • Ensure that all physician orders and insurance authorizations are secured prior to patient visits.
  • Respond to requests for patient records and provide operational support tailored to departmental needs.
  • Foster a collaborative work environment by actively engaging with the patient care team to relay important patient information.
  • Utilize exceptional communication skills to deliver high-quality service to patients, physicians, and staff during every interaction.
  • Address urgent situations promptly and in accordance with established protocols.
  • Maintain open communication with various departments to mitigate scheduling conflicts and service delays.

Service Excellence: Create a safe and inviting atmosphere for patients, staff, and visitors, contributing to overall satisfaction levels. Responsibilities include:

  • Performing accurate patient check-in and check-out functions.
  • Collecting and entering precise scheduling and registration data to facilitate financial clearance.
  • Updating electronic medical records as necessary and responding to patient record requests in line with protocols.
  • Providing additional administrative support as required.

Quality and Safety: Act as a liaison among patients, medical staff, and visitors, ensuring effective communication to resolve service-related issues. Responsibilities include:

  • Maintaining confidentiality and adhering to HIPAA regulations while conveying patient information.
  • Collaborating with clinical staff as needed to support patient care.

Financial Responsibilities: Work alongside patient access personnel to confirm insurance authorizations and educate patients about potential financial obligations. Responsibilities include:

  • Organizing work efficiently to minimize overtime and prioritize tasks effectively.
  • Utilizing downtime productively to assist team members.

Professional Development: Encourage innovation by sharing ideas that enhance service quality and seeking opportunities for personal growth beyond basic competencies.

Qualifications:

  • High School diploma or equivalent.
  • Minimum of one year of experience in a customer service role, preferably in a healthcare setting.

  • Knowledge of medical terminology is advantageous.

Work Environment: Professional business attire is required. Employees may be required to be on-call during emergencies.
