Position Summary
We are currently in search of a dependable and enthusiastic Front Office Specialist. This role is essential in providing comprehensive front office support to both patients and clinicians. Responsibilities include managing patient interactions, facilitating check-in and check-out processes, and addressing inquiries related to insurance coverage and benefits.

Key Responsibilities
  • Welcome and assist patients during check-in and check-out, ensuring all necessary documentation is completed and co-payments are collected.
  • Distribute initial assessment forms to patients, verify their completion, and input electronic forms into the electronic health record (EHR) system.
  • Handle incoming calls, providing support for various patient inquiries, including payment questions and release requests.
  • Maintain the accuracy of patient accounts, ensuring correct billing addresses, contact details, and payment authorizations.
  • Assist patients in scheduling and rescheduling appointments, ensuring accuracy for both telehealth and in-person visits.
  • Guide patients in accessing Vsee, the Patient Portal, and navigating the LifeStance website.
  • Respond to emails and patient messages through the Patient Portal and manage voicemails.
  • Conduct daily audits of the appointment schedule to ensure accuracy.
  • Maintain a clean and organized office environment.
  • Perform general office tasks, including sorting mail, scanning documents, and managing efaxes.
  • Provide backup support to the Office Lead for pre-appointment processes.
  • Complete additional office duties as assigned by the Office Lead.
Qualifications
  • High School Diploma or equivalent; an Associate's degree is preferred.
  • A minimum of 2 years of experience in customer service, with a preference for healthcare experience.
  • Familiarity with OSHA and HIPAA regulations is advantageous.
  • Ability to manage multiple tasks effectively.
  • Capability to work both independently and collaboratively within a team.
  • Strong verbal and written communication skills.
  • All candidates must be legally authorized to work in the United States.
