Catering Sales Coordinator

This position reports directly to the Catering Sales Director.

Key Responsibilities:

Catering Assistance

  • Support Sales Managers in the creation of Banquet Event Orders (BEOs), floor layouts, and various reports.
  • Compile contracts, BEOs, and room layouts; distribute to clients while ensuring all necessary signatures and payments are secured.
  • Verify final guest counts and event specifics with clients.
  • Ensure that deposits are collected in a timely manner.
  • Circulate BEOs and room layouts among management and kitchen personnel promptly.
  • Participate in weekly BEO meetings to finalize event details for occasions scheduled within the next ten days.
  • Address all tasks efficiently and proactively, ensuring projects are completed successfully, often under tight deadlines.
  • Assist in delivering off-site catering orders; oversee setup and confirm all items are included before leaving the restaurant.

Restaurant Coordination

  • Act as a liaison for the restaurant to capture and follow up on all potential revenue-generating opportunities.
  • Provide support to the hostess team during busy lunch hours and peak times.
  • Manage incoming restaurant calls, directing inquiries to ensure all catering leads, large party requests, and reservations are communicated to the Catering Sales Manager or relevant Front of House Manager.
  • Maintain an inventory of office supplies, marketing materials, and menus.
  • Communicate effectively with a diverse range of guests and management, both via phone and email.
  • Be adaptable to new responsibilities as the needs of the restaurant evolve.

Qualifications and Skills:

  • Demonstrated administrative support experience is advantageous, along with a keen interest in sales.
  • Ability to quickly grasp new technologies and develop new skills.
  • Exceptional organizational skills, enabling the management of multiple tasks with a strong attention to detail.
  • Strong interpersonal abilities, fostering relationships with clients and working effectively within a team.
  • Excellent written and verbal communication skills.
  • Emotional intelligence and maturity.
  • Professional appearance and demeanor are essential.
  • A resourceful team player who can also perform effectively independently.
  • A proactive thinker who seeks opportunities and suggests solutions.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel); ability to learn additional software programs as needed.
  • Familiarity with Adobe Acrobat and social media platforms is a plus.
