Job Overview

Position Title: Facilities Operations Coordinator, Training Fund Facilities

Work Schedule: Monday-Friday 10:30am-6:30pm

Department: Training Fund

FLSA Status: Exempt

Role Summary:

The Facilities Operations Coordinator is accountable for the upkeep and management of facilities and inventory.

Key Responsibilities:

  • Oversees the installation of technology and furniture, ensuring optimal room conditions.
  • Addresses all inquiries and concerns from members.
  • Monitors compliance with program rules and regulations.
  • Coordinates with evening and weekend teams to ensure seamless transitions.
  • Identifies and acquires necessary training materials and tools for instructors and members; distributes as needed.
  • Ensures the safety of members, instructors, and staff within classrooms.
  • Acts as a liaison with security for incident reporting.
  • Communicates daily activities with department members to keep projects on schedule.
  • Facilitates communication between the Training Fund and Building Management regarding operations and events; conducts room inspections and logs facility issues.
  • Collaborates with the curriculum team to keep Tool and Material lists current.
  • Maintains an accurate inventory of tools, materials, equipment, and books in the Training Fund database.
  • Ensures timely mailing of materials to remote locations and classes.
  • Negotiates with vendors for optimal pricing and manages ordering of tools and materials for all facilities.
  • Develops and adheres to a maintenance schedule for all equipment, recommending upgrades and improvements.
  • Establishes new policies and procedures for equipment and material requests and deliveries.
  • Actively participates in all facility upgrade projects.
  • Assists in planning and executing both on-site and off-site projects.
  • Travels to offsite locations to lead projects aimed at enhancing facilities.
  • Supports the packing and inventory management of CPR equipment, ensuring its distribution to various employers and offsite locations.
  • Leads bi-weekly meetings focused on facility management.

Additional Responsibilities:

  • Performs other duties as assigned.

Technical Proficiencies:

  • Proficient in Outlook, Word, Excel, CRM, LMS, and experience with facilities ticketing systems and project management software.

Interpersonal Abilities:

  • Capable of working independently as well as collaboratively within a team.
  • Skilled in resolving member requests and issues effectively.
  • Exhibits strong interpersonal and client service skills.
  • Demonstrates excellent customer service and problem-solving abilities.

Language Proficiency:

  • Bilingual in English and Spanish is preferred.

Qualifications and Core Competencies:

  • Flexible availability.
  • Exceptional communication skills.
  • Familiarity with Windows operating systems.
  • Strong background in tools, maintenance, and facility management.
