Job Overview

Position Title: Facilities Operations Coordinator, Training Fund Facilities

Working Hours: Monday-Friday 10:30am-6:30pm

Department: Training Fund

FLSA Status: Exempt

Position Summary:

The Facilities Operations Coordinator is responsible for overseeing the upkeep of facilities and managing inventory effectively.

Key Responsibilities:

  • Install technology and furniture, ensuring optimal room conditions.
  • Address member inquiries and concerns promptly.
  • Ensure compliance with all program guidelines and regulations.
  • Familiarize with evening and weekend class schedules to facilitate smooth transitions.
  • Procure necessary training materials and tools for instructors and members, distributing them appropriately.
  • Manage safety protocols for members, instructors, and staff within classrooms.
  • Act as a liaison with security for incident reporting and follow-up.
  • Communicate daily activities with department members to keep projects on schedule.
  • Coordinate between the Training Fund and Building Management for operational needs and special requests.
  • Conduct room inspections and manage ticket submissions for facility issues.
  • Collaborate with the curriculum team to keep Tool and Material lists current.
  • Maintain an accurate inventory of tools, materials, equipment, and books in the Training Fund database.
  • Ensure timely mailing of materials to off-site locations and remote classes.
  • Work with vendors to secure competitive pricing and manage ordering of tools and materials.
  • Develop and maintain a maintenance schedule for all equipment, recommending improvements as necessary.
  • Create and implement policies for the request and delivery of equipment and materials.
  • Participate actively in all facility upgrade projects.
  • Assist in planning and executing on-site and off-site projects.
  • Travel to off-site locations to lead projects aimed at enhancing facilities.
  • Support the packing and inventory management of CPR equipment, ensuring timely shipping to various employers and off-sites.
  • Facilitate bi-weekly meetings focused on facility management.

Additional Responsibilities:

  • Perform other duties as assigned.

Technical Proficiencies:

  • Proficient in Outlook, Word, Excel, CRM, LMS, and experience with facilities ticketing systems and project management tools.

Interpersonal Skills:

  • Ability to work independently and collaboratively within a team.
  • Skilled in resolving member requests and issues effectively.
  • Strong interpersonal and client service abilities.
  • Exceptional customer service and problem-solving skills are essential.

Language Proficiency:

  • Bilingual in English and Spanish is preferred.

Qualifications and Core Competencies:

  • Flexible scheduling availability.
  • Excellent communication skills.
  • Familiarity with Windows operating systems.
  • Strong background in tools, maintenance, and facility management.
