  • Building Coordinator: Collaborate with building staff regarding vendor appointments, service bookings, and access management, while maintaining security protocols and emergency preparedness resources.
  • Ticketing System Supervisor: Oversee the ticketing system; delegate tasks to team members; monitor progress; close tickets as necessary and provide daily updates on outstanding issues.
  • Vendor Relations Manager: Cultivate and manage relationships with vendors, including overseeing onsite visits and follow-up communications.
  • Assist with office-wide initiatives and volunteer events, ensuring comprehensive reporting and engagement.
  • Inventory and Supply Coordinator: Manage ordering and tracking of supplies for the office, including kitchen and general office materials; assist with deliveries and daily restocking.
  • Storage Coordinator: Organize and assign storage areas; monitor usage sign-up sheets and respond promptly to inquiries.
  • Business Account Administrator: Serve as the primary contact for establishing and terminating business accounts for new hires and departing employees.

Financial Oversight and Planning

  • Billing and Contract Management: Supervise all financial operations within the office services department, including contract negotiations and vendor agreements.
  • Manage vendor onboarding and financial documentation.
  • Generate, submit, and track purchase orders, maintaining communication with vendors and accounts payable.
  • Complete monthly financial tracking and asset depreciation as necessary.
  • Collaborate with event teams to monitor employee welfare expenditures.
  • Assist in budget development for fiscal periods and specific projects.
  • Submit personal time and expense reports promptly.

Team Development
