This position involves managing the scheduling for our medical oncology unit at UPMC Life Changing Medicine. The work schedule is Monday through Friday, from 8:30 am to 5:00 pm, with no weekend or holiday shifts required.

Key Responsibilities:

  • Coordinate patient appointments, follow-up visits, and diagnostic testing.
  • Collaborate closely with physicians, nurses, and physician assistants.
  • Provide general administrative support under supervision to a department or group of professionals.
  • Manage office supplies and maintain office equipment.
  • Assist in preparing presentations, including editing and formatting.
  • Sort, distribute, and compose routine correspondence according to established protocols.
  • Perform clerical tasks such as copying, sorting, filing, and typing, while maintaining organized office records.
  • Support in researching and drafting routine reports, compiling and analyzing basic information.
  • Handle incoming calls and messages, responding to routine inquiries.
  • Maintain the supervisor's calendar, scheduling meetings and ensuring necessary arrangements are made.
  • Welcome and direct visitors to the appropriate staff member.

Qualifications:

  • High School diploma or equivalent.
  • Preferred experience in a medical office setting.
  • Up to one year of administrative experience is preferred.
  • Familiarity with word processing, email/calendar, spreadsheet, presentation, and database software.
  • Proficiency in Microsoft Suite products.
  • Understanding of business processes and procedures.
  • Ability to apply basic reasoning skills.
