We are seeking a highly detail-oriented and technologically savvy Administrative Assistant to join our team in our Pittsburgh office. This individual will provide administrative and clerical support to multiple departments within the company.

Key Responsibilities:
  • Account Management: Enter new accounts into our Customer Relationship Management (CRM) system.
  • Contract Preparation: Prepare contracts for review and signature, and return them to customers.
  • Documentation Management: Obtain all additional documentation requested with contracts and verify and upload all documentation associated with sales.
  • Customer Follow-up: Follow up with customers to ensure satisfaction and resolve any issues.
  • Collaboration with Sales Team: Work closely with the sales team on programs such as PEPPM, CoStars, and other initiatives.
  • Financial Management: Prepare invoices and perform data entry tasks.
  • System Training: Provide training to employees on new systems and software.
  • Front Desk Support: Answer the main line and sales line, greet visitors, and order office supplies.
  • Mail and Document Management: Sort and distribute mail and manage documents.
Requirements:
  • Education: High School diploma; Associates degree preferred.
  • Skills: Excellent oral and written communication skills, ability to operate personal computers and related business software, proficiency in Microsoft Office Suite applications, excellent time-management skills, and ability to focus on details and perform tasks with consistency.
  • Preferred Skills: Working knowledge of Microsoft Business Central.
