Position Overview

Become a pivotal part of our team as an Event Coordinator at F1 Arcade.


At F1 Arcade, we are transforming the hospitality landscape through our innovative collaboration with Formula 1, providing extraordinary social and competitive experiences worldwide. Our venues merge cutting-edge F1 racing simulations with a dynamic global food and beverage offering, catering to a wide range of audiences from corporate clients to families.


We are in search of a committed Event Coordinator to enhance our Boston operations. In this role, you will be instrumental in orchestrating and overseeing our vibrant events, ensuring that every aspect is carefully organized and executed.


Key Responsibilities:
  • Conduct thorough event closeouts, verifying agreements and payments for accuracy, and reporting any inconsistencies to the Event Sales Manager.
  • Systematically organize and maintain closeout documentation for easy retrieval.
  • Prepare event packets ahead of time for pop-up events and information folders for walk-in tours, ensuring readiness.
  • Identify and communicate any discrepancies between event schedules and prepared materials to the Event Sales Manager.
  • Review and distribute Banquet Event Orders (BEOs) for the kitchen and sales teams in preparation for upcoming events.
  • Support the event sales team in managing client inquiries and bookings, delivering exceptional customer service and addressing concerns promptly.
  • Coordinate event logistics, including scheduling and room arrangements, to ensure seamless execution and client satisfaction.
  • Engage effectively with clients to understand their event needs and preferences, ensuring a tailored experience.

Qualifications:

We are looking for candidates with essential skills and experience, including:

  • Strong organizational and administrative skills.
  • Meticulous attention to detail.
  • Excellent communication and customer service abilities.
  • Proficiency in MS Office (Word, Excel, Outlook) and familiarity with booking systems.
  • Previous experience in event coordination or administrative roles is preferred, along with at least one year in sales or event-related functions.
  • A high school diploma or equivalent is required.
  • Energy, enthusiasm, and a positive demeanor are essential.
  • Adeptness at managing multiple tasks and prioritizing effectively in a collaborative team environment.
  • Flexibility to work varied shifts, including evenings, weekends, and holidays as required by event schedules.
