Job Overview

The Office Support Specialist plays a crucial role in ensuring the smooth operation of the office environment. This position involves a variety of administrative tasks aimed at supporting the Workers' Compensation process and maintaining effective communication within the organization.

Key Responsibilities

  • Assess all incoming Workers' Compensation Claim Forms for thoroughness and precision.
  • Conduct follow-ups on any missing documentation to ensure compliance.
  • Deliver both verbal and written guidance to various centers regarding the procedures for reporting workers' compensation claims.
  • Input and code any missing illness and injury data into the internal database.
  • Facilitate training sessions for clerical personnel on best practices related to workers' compensation injury reporting.
  • Manage incoming correspondence and organize mass mailings efficiently.
  • Coordinate travel arrangements and handle phone inquiries for the unit.
  • Source and distribute health and safety information materials to statewide centers.
  • Draft and finalize memos and letters on behalf of the Workers' Compensation Manager and Health & Safety Officer.
  • Maintain the Health & Safety unit calendar and ensure all appointments are scheduled appropriately.
  • Edit and finalize the correspondence manual and procedural documents for the unit.
  • Keep a detailed log of incoming Workers' Compensation Claims.
  • Track and manage the departmental calendar for Workers' Compensation Appeals Board activities.
  • Oversee the Health and Safety budget, making necessary adjustments as required.
  • Prepare billing documentation for the Accounting Office and review for accuracy.
  • Order and manage supplies for the Health & Safety unit, ensuring adequate stock for training sessions.
  • Provide support to the Human Resources receptionist as needed.

Working Conditions

This position is classified as "Hybrid" but primarily office-based, with potential eligibility for telework on a limited basis.

Special Requirements

  • Applicants must demonstrate the ability to type at a minimum speed of 40 words per minute, validated by a typing certificate prior to hiring.
