The Secretary of State's Business Programs Division aims to streamline business operations in California, supporting over two million enterprises that contribute to the state's status as the 5th largest economy globally. What does the Business Programs Division encompass?
  • We offer an extensive array of services and manage various filings to assist our clientele, including:
  • Registration, modification, and dissolution of corporations, limited liability companies, and partnerships.
  • Trademark and service mark registration and amendments.
  • Uniform Commercial Code financing statements and tax lien notices.
  • Maintenance of registries such as the Advance Health Care Directive Registry and Domestic Partners Registry.
  • Oversight of notary commissions and authentication of signatures for public officials.
  • We also provide customer service through multiple channels, including online, phone, and in-person interactions, and maintain records of our filings online.

Your Role in the Business Programs Division

In alignment with our mission, you will be integral to our Division, demonstrating initiative, independence, and creativity in delivering a comprehensive range of administrative support. Under the guidance of a Staff Services Manager I or II, your responsibilities will include:
  • Managing personnel attendance and related records.
  • Preparing, processing, and tracking work orders and office equipment maintenance.
  • Ordering supplies and equipment while maintaining inventory levels.
  • Serving as a liaison to the Information Technology Division and Business Operations.
  • Answering and directing phone calls for the section Manager and other staff.
  • Providing general administrative assistance to the Business Programs Division.
  • Acting as a backup for fellow Office Technicians when necessary.

  • Capability to handle sensitive information with discretion.
  • Excellent communication skills for interacting with various levels of staff and the public.
  • Attention to detail and commitment to accuracy.
  • Proactive approach to work, both independently and as part of a team.
  • Dependable attendance and punctuality.
  • Proficiency in operating various office equipment.
  • Familiarity with Microsoft Office applications and Visio is highly desirable.

Working Conditions

Positions may offer a hybrid work schedule after a probationary period, potentially including telework options. Alternate Work Week (AWW) schedules may also be available, subject to business needs.

Special Requirements

  • A typing certificate confirming a minimum speed of 40 words per minute is required prior to hiring.
