Job Summary

Crystal Stairs, Inc. is seeking a highly skilled and detail-oriented Program Assistant II to provide support to the Family Services Specialist. This role will involve creating and maintaining new parent or provider files, reviewing and ensuring proper documentation, preparing forms and notices, and entering client information into the database.

Key Responsibilities
  1. Create and maintain new parent or provider files, including filing required documentation.
  2. Review and ensure proper documentation are provided.
  3. Prepare forms, notices, and correspondence regarding missing documentation.
  4. Enter client information into GEARS and other internal databases.
  5. Make follow-up phone calls to providers regarding terminated parents.
  6. Set up appointments for new enrollments/recertifications and follow up on rescheduled appointments and no-shows.
  7. Follow the Interagency Transfer Agreement process when sending families to or receiving families from other agencies.
  8. Maintain the private agency waiting list by updating, editing, and verifying information.
  9. Check for qualifying need, residence, and child care needs within our service area.
  10. Sort and distribute incoming mail and serve as backup for monthly claim processing as needed.
Requirements
  • High School diploma required; Associate of Arts degree in the Social Sciences field preferred.
  • Minimum 1 year experience working with parents receiving subsidized child care or social support services.
  • Requires knowledge and competency on GEARS and other database applications.
  • Excellent problem-solving skills and ability to handle challenging customer calls or requests.
  • Great attention to detail and ability to work with a diverse group of individuals.
  • Excellent verbal and written communication skills.
  • Flexibility and ability to manage multiple tasks and handle changing priorities and deadlines.
