POSITION SUMMARY
The Office and Billing Coordinator plays a vital role in managing daily front desk operations while providing essential administrative, clerical, and billing assistance to the Senior Adult Services department. As the initial point of contact for inquiries from service users, their families, and community partners, this position is crucial in fostering positive relationships and ensuring smooth operations.
QUALIFICATIONS
Education:
High School Diploma or equivalent.
Additional Requirements:
- Prior experience in a receptionist or administrative role is preferred.
- Excellent interpersonal skills for effective communication and relationship building.
- Strong organizational abilities, adaptability, and attention to detail.
- High ethical standards and commitment to confidentiality regarding sensitive information.
- Proficient in Microsoft Office and electronic record management systems.
- Ability to work collaboratively as part of a team as well as independently.
- Skills in multitasking, flexibility, problem-solving, and patience in a dynamic environment.
- Previous experience in billing processes is a plus.
KEY RESPONSIBILITIES
- Manage incoming calls and direct them appropriately.
- Welcome participants and their caregivers upon arrival and departure; inform relevant staff.
- Coordinate participant schedule changes with caregivers and staff members.
- Maintain and distribute weekly participant schedules and daily attendance records.
- Oversee phone system operations.
- Ensure the front lobby is stocked with agency literature and is well-maintained.
- Monitor safety and security within the program environment.
- Complete billing documentation for all participants, including attendance forms and necessary electronic records for third-party billing.
- Collect, document, and track fee payments.
- Input and maintain participant data in the electronic record management system, generating reports as needed.
- Create and secure participant files.
- Document notes during staff and advisory committee meetings.
- Communicate with agency staff through email and phone.
- Train and support volunteers in front desk operations.
- Order and manage office supplies.
- Handle petty cash transactions.
- Engage in special events, holiday celebrations, fundraising activities, and agency functions.
WORK ENVIRONMENT
Environmental Conditions:
- Moderate noise typical of an office setting with computers, phones, and printers.
- Ability to work in a confined space.
- Capability to sit at a computer for extended periods.
Physical Requirements:
- Regularly required to stand, sit, talk, hear, and use hands for computer and phone operations.
- Specific vision requirements for close work on computer screens.
- Light to moderate lifting may be necessary.
NON-EXEMPT STATUS
This position is classified as non-exempt and is eligible for overtime compensation in accordance with the Federal Fair Labor Standards Act.
