Role Overview:
The Facilities Coordinator plays a crucial role in ensuring the smooth operation of our facilities. This position encompasses responsibilities related to building maintenance, janitorial services, and the management of maintenance schedules, including coordination with external contractors for ongoing projects within our expansive headquarters.

Key Responsibilities:

  • Daily Tasks:
    • Maintain custodial standards across the office, including restrooms and kitchen areas.
    • Manage the receipt and distribution of packages, assisting with shipping and receiving processes.
    • Collaborate with senior executive assistants, vendors, and contractors to ensure timely completion of maintenance tasks.
    • Identify hazards and implement immediate corrective actions.
    • Coordinate facility services through third-party vendors, including custodial and landscaping services.
  • Weekly Tasks:
    • Order, receive, and manage office and facility supplies.
    • Organize facility spaces, including kitchens and supply closets.
    • Oversee maintenance and repairs of the facility.
    • Maintain and communicate maintenance schedules and reports to senior executive assistants.
    • Provide regular updates on facility responsibilities.
  • Monthly Tasks:
    • Conduct observations and report on building needs to uphold operational standards.
    • Assist in safety preparedness and planning.
    • Maintain relationships with vendors related to facility services.
    • Perform safety and security inspections of the building.
    • Schedule and track building inspections.
  • Assess facility needs and make decisions regarding repair and maintenance actions.
  • Manage facility accounts and reporting.
  • Take on additional responsibilities as required.

Qualifications:
  • Minimum of 2 years of experience in facility coordination, project management, or a related field.
  • Self-motivated with a strong attention to detail and a sense of urgency.
  • Excellent verbal and written communication skills.
  • Able to work independently and collaboratively within a team.
  • Strong initiative and ability to motivate others.
  • Proficient in managing multiple tasks and prioritizing effectively.
  • Familiarity with building equipment maintenance and maintenance planning.
  • Experience working with vendors and contractors.
  • Knowledge of general facility maintenance requirements.
  • Proficient in Google Workspace or similar software.
  • Willingness to be available for after-hours emergencies when necessary.
  • Ability to maintain confidentiality of sensitive information.
  • Comfortable in a fast-paced environment with frequent interactions.
  • Open to a pet-friendly workplace.

Preferred Qualifications:
  • Experience with project management software such as JIRA.
  • Knowledge of office appliances and facility equipment.
  • Experience in creating maintenance schedules and reports.
  • Familiarity with bidding and overseeing contracts.
