Key Responsibilities:

  • Provide advanced administrative support, including coordinating operations, handling confidential situations, and resolving problems.
  • Serve as a highly visible resource for internal and external constituents, explaining and enforcing department policies and procedures.
  • Research and resolve escalated problems or concerns, and communicate on behalf of direct managers.
  • Work with the marketing and communications team on communications projects and materials.
  • Produce and edit complex documents, reports, spreadsheets, and other materials for presentations.
  • Respond to routine correspondence, prepare meeting agendas and minutes, and coordinate multiple calendars.
  • Schedule complex meetings and logistics that may include external groups or constituents.
  • Oversee daily operations of the department or business unit, evaluating workflow, productivity, and customer service.
  • Oversee services from university departments to ensure technology, facilities, procurement, and other needs are met.
  • Oversee databases and file systems, manipulating and auditing data or requesting data from other sources for reports and analysis.
  • Coordinate plans and logistics for projects and larger-scale events, handling marketing and publicity, communication with speakers, and coordination of venue.
  • Track project timelines and deliverables, monitor and track expenditures, research and resolve problems, prepare reports, and assist with assigned projections.
  • Train new support staff, students, and temporary help, providing direction, guidance, and feedback on work performance.

Requirements:

  • High school diploma or equivalent and 5+ years of related experience.
  • Advanced knowledge of Microsoft Office suite.
  • Ability to monitor financial transactions.
  • Strong organizational and interpersonal skills.
  • College degree may serve as a substitute for some years of experience.
