KEY RESPONSIBILITIES:

  • Oversee daily operations of support services and business office functions for regional administrative tasks. Manage budget oversight, daily financial transactions, local vendor relationships, facilities management, fleet management, Human Resources, Information Technology, and record-keeping.
  • Ensure compliance with standard operating procedures and applicable regulations at all levels.
  • Monitor budget and expenditures, authorize procurement transactions, prepare financial forecasts, and ensure program execution aligns with budgetary constraints. Maintain and disseminate operational processes and procedures while ensuring compliance.
  • Facilitate coordination of facility activities, establish work protocols, approve maintenance requests, cultivate relationships with new vendors, analyze data for informed decision-making, plan real estate transactions, and collaborate with other divisions on shared services.
  • Provide training to volunteers to manage administrative tasks essential for business operations, ensuring alignment with strategic objectives.
  • Analyze fleet inventory records, oversee training, maintenance, and management of fleet and personnel.
  • Assist in planning and preparation for events, including training volunteers on insurance certificate applications, financial collection processes, and the appropriate documentation for regulated items.
  • Educate staff on business software applications and support the resolution of regional phone and computer issues.

QUALIFICATIONS:

  • Education: High School diploma or equivalent required; Associate's degree in Accounting, Business, or Public Administration preferred.
  • Experience: A minimum of 5 years in financial or facilities business operations/administrative roles within community organizations, government agencies, non-profits, or a combination of education and relevant experience is required. Experience working effectively with volunteers and board members is preferred.
  • Skills & Abilities: Strong planning, prioritization, and organizational skills to enhance team performance and meet stakeholder expectations. Excellent attention to detail and interpersonal skills to foster collaborative relationships within the organization and with external partners. Proficiency in MS Office applications, including Word, Excel, PowerPoint, and Outlook. Comprehensive knowledge of federal, state, and local employment laws. Ability to work effectively in a team environment.
  • Travel: Occasional travel is required throughout the region, necessitating a valid driver's license.
  • Physical requirements include those typical of an office environment. Flexibility is essential to address sudden and unpredictable needs. Ability to utilize a personal computer and office equipment for extended periods is necessary.
