KEY RESPONSIBILITIES:

Oversee the daily operations of support services and business office functions for regional administrative activities. Assist in budget oversight, daily financial transactions, local vendor relations, facilities management, fleet management, Human Resources, Information Technology, and record-keeping. Provide support, development, and/or leadership guidance to all volunteers.

Perform all duties and responsibilities in compliance with standard operating procedures and applicable Federal, State, and local regulations.

WHERE YOUR CAREER CAN MAKE A DIFFERENCE (Key Responsibilities):
  • Monitor budget and expenditures, approve procurement transactions, prepare forecasts, and ensure programs are executed within budget. Maintain and distribute operational processes and procedures and ensure adherence. Provide guidance for grant reporting and respond to requests for information and/or documentation, delegating to volunteers as appropriate.
  • Support coordination of facility activities, establish work procedures, approve all maintenance, develop relationships with new vendors, analyze data to inform future decisions, plan for real estate transactions, achieve objectives set by management, and meet with other divisions to discuss shared services.
  • Provide training to volunteers to manage the administrative transactions necessary for the business, ensuring that their efforts align with strategic business goals.
  • Analyze fleet inventory records, training, maintenance, and management of the fleet and personnel.
  • Support planning and preparation for events, including training volunteers to prepare insurance certificate applications, financial collection processes, and appropriate forms and codes used for regulated items.
  • Train staff in the use of business software application systems and support the escalation for regional phone and computer issues.
QUALIFICATIONS:
  • Education: High School diploma or equivalent required. Associate's degree in Accounting, Business, or Public Administration preferred.
  • Experience: Minimum of 5 years of financial or facilities business operations/administrative experience in community organizations, government agencies, non-profits, or a combination of education and related experience required. Experience working effectively with volunteers and board members preferred.
  • Management Experience: N/A
  • Skills & Abilities: Ability to plan, prioritize, and organize work to maximize team performance and meet customer expectations. Excellent organizational skills and attention to detail. Strong interpersonal skills and the ability to create and maintain collaborative work relationships within the organization and with external stakeholders. Proficient with MS Office software, including Word, Excel, PowerPoint, and Outlook. Strong knowledge of federal, state, and local employment laws. Ability to work on a team.
  • Travel: Travel is required throughout the Region with some travel outside of the Region. A valid driver's license is required.
  • *Combination of candidate's education and general experience satisfies requirements as long as the total years equate to the minimum education and general experience years combined (Management experience cannot be substituted).
  • Physical requirements are those present in normal office environment conditions. Operational flexibility is required to meet sudden and unpredictable needs. Ability to use a personal computer, applicable software, and office equipment for sustained periods. May include sitting for long periods, driving a vehicle, and working under challenging conditions.
