KEY RESPONSIBILITIES:

Oversee the daily operations of support services and business office functions for regional administrative activities. Assist in budget oversight, daily financial transactions, local vendor management, facilities oversight, fleet coordination, Human Resources, Information Technology, and record-keeping/reporting. Provide support, development, and/or leadership guidance to all volunteers.

Ensure compliance with standard operating procedures and applicable Federal, State, and local regulations in all duties and responsibilities.

WHERE YOUR CAREER MAKES A DIFFERENCE
  • Oversee budget monitoring and expenditures, approve procurement transactions, prepare forecasts, and ensure program execution within budgetary constraints. Maintain and disseminate operational processes and procedures while ensuring compliance. Provide guidance for grant reporting and respond to information/documentation requests, delegating tasks to volunteers as appropriate.
  • Facilitate the coordination of facility activities, establish work procedures, approve maintenance requests, develop relationships with new vendors, analyze data for informed decision-making, plan for real estate transactions, achieve management objectives, and collaborate with other divisions on shared services.
  • Train volunteers to manage the administrative transactions necessary for business operations, ensuring alignment with strategic business goals.
  • Analyze fleet inventory records, training, maintenance, and management of fleet and personnel.
  • Assist in planning and preparation for events, including training volunteers on insurance certificate applications, financial collection processes, and the appropriate forms and codes for regulated items.
  • Educate staff on business software applications and support the escalation of regional phone and computer issues.
QUALIFICATIONS:
  • Education: High School diploma or equivalent required. An Associate's degree in Accounting, Business, or Public Administration is preferred.
  • Experience: A minimum of 5 years of experience in financial or facilities business operations/administration within community organizations, government agencies, non-profits, or a related combination of education and experience is required. Experience working effectively with volunteers and board members is preferred.
  • Management Experience: Not applicable.
  • Skills & Abilities: Strong planning, prioritization, and organizational skills to maximize team performance and meet customer expectations. Excellent organizational skills with attention to detail. Strong interpersonal skills with the ability to create and maintain collaborative relationships within the organization and with external stakeholders. Proficient in MS Office software, including Word, Excel, PowerPoint, and Outlook. Strong knowledge of federal, state, and local employment laws. Ability to work effectively in a team environment.
  • Travel: Travel is required throughout the region, with some travel outside the region. A valid driver's license is necessary.
  • *A combination of education and general experience can satisfy requirements as long as the total years meet the minimum education and experience requirements (Management experience cannot be substituted).
  • Physical requirements are typical of an office environment. Operational flexibility is necessary to meet sudden and unpredictable needs. Ability to use a personal computer, applicable software, and office equipment for extended periods. May include sitting for long periods, driving a vehicle, and working under challenging conditions.
