You will be responsible for managing various business-related tasks, including preparing reports, organizing travel arrangements, and documenting meeting minutes, along with other organizational responsibilities.

To excel in this role, you should possess a comprehensive understanding of the Microsoft Office suite, demonstrate exceptional problem-solving skills, and have prior experience in an executive or administrative support capacity.


Key Responsibilities:

  • Drafting financial documents, reports, memos, invoices, and other essential correspondence.
  • Managing phone communications and directing calls appropriately or taking messages as needed.
  • Performing basic bookkeeping duties.
  • Organizing and retrieving corporate records, documents, and reports efficiently.
  • Conducting research and compiling data to prepare documents for review by executives and boards.
  • Assisting in meeting preparations.
  • Accurately documenting minutes during meetings.
  • Welcoming visitors and determining their eligibility to meet with executives.
  • Utilizing various software applications, including word processing, spreadsheets, databases, and presentation tools.
  • Reviewing and analyzing incoming correspondence and distributing it as necessary.
  • Coordinating travel logistics for executives.
  • Performing office tasks such as ordering supplies and managing records databases.
  • Experience in virtual assistance is a plus.
  • Sorting and distributing incoming faxes, emails, and other communications.
  • Providing comprehensive administrative support.

Qualifications:

  • Proven experience as an executive assistant or in a similar administrative support role.
  • Thorough knowledge of the complete MS Office suite.
  • High school diploma or equivalent.
  • Ability to prioritize and organize daily workloads effectively.
  • Capacity to meet deadlines in a dynamic and fast-paced environment.
  • A proactive approach to problem-solving with strong decision-making capabilities.
  • Excellent verbal and written communication skills.
