The National Adoption Association is in search of a Project Operations Manager to enhance its operational framework.

Position Summary:

The Project Operations Manager will play a crucial role in facilitating the objectives of the AdoptUSKids initiative by providing essential support to the leadership team and collaborating with child welfare agencies and stakeholders. This position encompasses responsibilities such as logistical project management, data oversight, communication development, and administrative supervision.

Qualifications:

A Bachelor's degree in social work, nonprofit administration, business management, operations management, or a closely related discipline is required. A Master's degree in a relevant field is preferred. Candidates should possess a minimum of 5 years of experience in operations or project management with progressively increasing responsibilities. At least 2 years of supervisory experience is necessary. Familiarity with data analysis, reporting, and child welfare is highly desirable. Certification in Project Management Professional or equivalent credentials is advantageous. Willingness to travel 4-6 times annually is required.

Key Responsibilities:

1. Project Management

· Oversee the logistical components of projects from inception to completion, including resource planning, timeline management, and communication strategies.

· Analyze evaluation reports to recommend program enhancements.

· Deliver regular updates and presentations on program status to internal and external stakeholders.

· Collaborate with the AdoptUSKids Director to conduct qualitative data assessments for program beneficiaries.

· Work with cross-functional teams to refine project tools and systems.

· Ensure compliance with grant stipulations, including reporting and budgeting.

· Attend meetings to gather necessary information for project tracking and support.

· Collaborate with team members to maintain project timelines and provide necessary support.

· Manage special projects as assigned.

2. Data Oversight

· Supervise the collection and coordination of data for the AdoptUSKids Data Dashboard and agency audits.

· Ensure quality assurance in data collection processes throughout the project.

· Utilize data to guide decision-making processes.

· Facilitate onboarding for new AdoptUSKids members regarding data systems and troubleshoot issues.

· Access data from various databases and platforms utilized in the project.

· Connect staff with appropriate resources for learning and troubleshooting data systems.

· Collaborate with Evaluation teams regarding outcomes and quality improvements.

· Assist in data extraction and validation from partner systems.

3. Administrative Management

· Develop and review reports for grantees, including semi-annual evaluations.

· Serve as the administrative lead for platforms such as Google Suite and GrantSolutions.

· Act as the liaison with Evaluation partners for Data Dashboard management.

· Establish specific goals and plans to prioritize and achieve project objectives.

· Gather and synthesize information from various sources to provide administrative support.

· Maintain effective communication and partnerships within the AdoptUSKids project.

· Prepare and verify operational reports to ensure accuracy and efficiency.

· Guide the Project Specialist in data collection and administrative tasks.

· Support the preparation and management of program budgets and monitor expenditures.

· Assist the AdoptUSKids Director with financial oversight.

· Facilitate internal and external communications as directed.

· Promote cross-collaboration within AdoptUSKids to enhance cooperative efforts.

4. Public Relations and Event Coordination

· Organize and manage logistics for events and travel related to AdoptUSKids.

· Lead the organization of informational webinars on relevant topics as requested.

· Provide program announcements to participants under the guidance of the AdoptUSKids Director.

Additional Information:

This position is primarily remote, with travel required for meetings and conferences. Background checks are conducted for all employees. Occasional overtime may be necessary.

Compensation and Benefits:

The salary for the Project Operations Manager is $80,000.
