Role Summary

Bizzell Group is in search of an Administrative Operations Coordinator I, responsible for delivering comprehensive administrative assistance to ensure seamless daily functions within the organization. This role includes managing incoming communications, addressing inquiries, and supporting various administrative duties such as organizing documents, scanning, and copying.

Supervisory Responsibilities: None

Key Responsibilities:

  • Compose and prepare email memorandums, reports, invoices, and other internal communications.
  • Coordinate appointments and maintain the calendar for senior leadership and support teams.
  • Establish and manage electronic filing systems.
  • Handle incoming calls and inquiries; perform filing, photocopying, binding, scanning, and respond to emails daily; set up virtual conference meetings.
  • Act as the point of contact for fingerprinting or PIV card processes, including mailing fingerprints and escorting individuals onsite.
  • Review and follow up on hotline inquiries.
  • Support the review and follow-up on presentation materials.
  • Manage VSR reports within systems such as EDMS and MS Lists.
  • Participate in VSR support meetings on a monthly, bi-weekly, and ad hoc basis.
Required Skills and Qualifications:
  • Proficient in Windows 10, internet research, and data entry.
  • Exceptional verbal and written communication abilities.
  • Strong interpersonal and customer service skills.
  • Outstanding organizational skills and meticulous attention to detail.
  • Effective time management skills with a proven track record of meeting deadlines.
  • Able to thrive in a fast-paced and occasionally stressful environment.
  • Proficient in Microsoft Office Suite, particularly Outlook, Word, and SharePoint.
  • Demonstrated ability to produce high-quality work under time constraints.
  • Capable of working independently and collaboratively within a team.
Education and Experience:
  • High school diploma or equivalent.
  • One (1) to two (2) years of relevant professional experience required.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds occasionally.
