About the Role

The West Virginia University Research Corporation is seeking a highly skilled Administrative Assistant to join our team in the Department of Pediatrics/Genetics. As a key member of our support staff, you will play a vital role in ensuring the smooth operation of our administrative functions.

Key Responsibilities:

  • Provide administrative support to functional and executive staff, including preparation and provision of services.
  • Manage the Genetics referral Workque, ensuring timely completion and review of daily tasks.
  • Schedule patients/customers based on scheduling guidelines and medical appropriateness, obtaining necessary information for appointment scheduling.
  • Assure registration of patients, collecting vital information for patient identification and billing purposes.
  • Maintain current knowledge of major insurance policies, practices, and requirements regarding all relevant procedures.
  • Attend administrative support meetings, provide department phone coverage, and distribute division mail.
  • Coordinate scheduling of conference calls and meetings, including reserving locations, ordering food and refreshments, and communicating with participants.
  • Set up and maintain appointment calendars for assigned Genetics professionals, ensuring attendance at scheduled activities and rescheduling appointments as needed.

Requirements:

  • Associate's Degree or equivalent combination of education and/or experience.
  • Minimum of two (2) years of administrative experience, with scheduling experience preferred.
  • Good knowledge of Microsoft Office Products and EPIC.
  • Excellent phone skills and customer service skills.
