Role Responsibilities:

The Event Lead is responsible for overseeing all facets of event design, planning, and execution, both on-site and off-site. This position is vital in ensuring that every event is executed flawlessly, working closely with clients, the Events department staff, and external vendors to deliver exceptional experiences that encourage repeat business.

In service to our clients, the Event Lead ensures that both the staff and venue are fully prepared before each event commences.


Key Duties:

While this list is not exhaustive, it outlines the primary responsibilities associated with the Event Lead position. Additional tasks may arise as needed.


Event Planning and Execution:
Client Engagement:

- Conduct meetings with clients at least two weeks prior to their event to finalize all details related to event design and execution.
- Maintain consistent communication with clients to ensure successful event production.
- Review event contracts for accuracy before reaching out to clients.
- Update and manage calendars for all rental spaces and off-site events promptly.
- Direct clients back to the sales team for significant changes during planning discussions.

- Supervise the Events Department staff during events, focusing on:

  • Delivering events that meet customer satisfaction standards.
  • Overseeing on-site event production, including audio/visual setups, decor, and seating arrangements.
  • Ensuring compliance with the written contract for all events.
  • Adhering to all relevant laws and regulations, particularly regarding alcohol service.

- Assist the General Manager in training staff on responsible alcohol service and proper etiquette to enhance service quality.

- Attend weekly BEO meetings to plan and review event needs and outcomes.


Facility Management:

- Conduct regular inspections of the venue to identify any safety or maintenance issues, reporting them to the Facilities Director for resolution.
- Collaborate with Facilities staff to ensure the venue is always tour-ready, with rooms either fully set or completely empty.
- Support the General Manager in training staff to maintain security and safety throughout the venue.

- Keep track of inventory related to events, including tables, chairs, and linens, and request replacements for any damaged items as necessary.
