Job Summary

The City of New York is seeking an experienced Executive Assistant to provide high-level administrative support to the Deputy Commissioner of the Bureau of Wastewater Treatment. The ideal candidate will have a strong background in communication, attention to detail, and multitasking in a fast-paced environment.

Key Responsibilities
  • Provide executive-level administrative support to the Deputy Commissioner, Chief of Staff, and Bureau Senior Leadership Team.
  • Manage the Deputy Commissioner's weekly schedule, including logistics for location, travel time, and attendance by supporting SLT members.
  • Set up meetings and manage/reschedule shifting priorities effectively.
  • Liaise with counterpart executive assistants and administrative personnel to facilitate interbureau communication.
  • Coordinate, collect, and organize agenda items for meetings.
  • Disseminate necessary information to bureau staff as directed by the Deputy Commissioner and Chief of Staff.
  • Maintain a general knowledge of Bureau operations to request information from and direct inquiries to appropriate section/location personnel.
  • Under direction, create spreadsheets, draft letters, and memoranda using Microsoft software.
  • Perform ad hoc assignments and special projects as necessary.
Qualifications
  • A baccalaureate degree from an accredited college and three years of satisfactory full-time progressively responsible clerical/administrative experience, one year of which must have been in an administrative capacity or supervising staff performing clerical/administrative work of more than moderate difficulty.
  • An associate degree or 60 semester credits from an accredited college and four years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described above.
  • A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and five years of satisfactory full-time progressively responsible clerical/administrative experience including one year of the administrative supervisory experience described above.
