Position Overview:

The Facilities Support Coordinator will serve as the primary point of contact for all facility-related inquiries and operations. This role is essential in ensuring that all facility assets comply with both business and legal standards.

Key Responsibilities:

  • Manage the creation of Purchase Requests (PR) and Purchase Orders (PO) while overseeing the invoicing process through the designated procurement system.
  • Handle minor discretionary purchases and supervise both soft and hard services, collaborating closely with relevant stakeholders such as building management and facility vendors.
  • Conduct regular stakeholder management meetings and maintain comprehensive site records and documentation.
  • Address facilities requests and assist the facilities team with various projects, including reporting and program management.
  • Support initiatives aimed at enhancing energy efficiency and waste reduction, providing monthly updates and tracking progress.

Training and Support:

  • Facilitate access and training for staff on facility equipment.
  • Provide additional support for front-of-house services, including visitor management, handling incoming calls, and conducting site inductions.
  • Oversee office mail and courier services, manage access control arrangements, and order office supplies as needed.
  • Coordinate the booking and setup of meeting rooms, ensure the resupply of office and café consumables, and manage site notices and certificates.

Safety and Compliance:

  • Assist in maintaining safety protocols by supporting regional Health, Safety, and Environmental (HSE) management.
  • Report non-compliance issues and monitor the restocking of first aid supplies.
  • Communicate HSE and emergency information to first-time visitors and assist with evacuation procedures as necessary.

Qualifications:

  • A high school diploma or equivalent is required.
  • Proficient literacy, numeracy, and IT skills, particularly in Microsoft Office.
  • A minimum of 3 years of experience in a facility support role or 5+ years in a related corporate environment, including front-of-house or hospitality services, is preferred.
