Position Overview:

The Facilities Support Coordinator is tasked with serving as the primary contact for all facility-related inquiries and issues. This role is crucial in ensuring that all facility assets comply with both business and legal standards.

Key Responsibilities:

  • Oversee the creation of Purchase Requests (PR) and Purchase Orders (PO), as well as manage the invoicing process through the designated procurement system.
  • Exercise discretion in making minor purchases as needed.
  • Manage and supervise both soft and hard services, collaborating closely with local landlords, building management, site personnel, and facility vendors.
  • Conduct stakeholder management meetings and maintain comprehensive site records and documentation.
  • Handle facility requests and assist the facilities team with various projects, reporting, and program management.
  • Support energy efficiency and waste reduction initiatives by providing monthly updates and tracking progress.

Training and Support:

  • Facilitate access to, and training on, facility equipment for staff members.
  • Provide additional support for front-of-house services, including visitor management and incoming phone call handling.
  • Conduct site inductions and manage office mail and courier services.
  • Oversee access control arrangements and order office supplies as necessary.
  • Coordinate the booking and setup of meeting rooms, ensuring that office and café consumables are adequately stocked.
  • Manage site notices, signs, and certificates, while assisting the Facilities Specialist or Manager as required.

Safety and Compliance:

  • Support the site’s safety protocols by assisting regional Health, Safety, and Environmental (HSE) management.
  • Report non-compliance issues and monitor the restocking of first aid supplies.
  • Maintain and communicate HSE and emergency information to first-time visitors, and assist with evacuation or shelter-in-place procedures.

Qualifications:

  • A high school diploma or equivalent is required.
  • Strong literacy, numeracy, and IT skills, particularly in Microsoft Office, are essential.
  • A minimum of three years' experience in a facility support role, or five years in a related corporate environment, hospitality services, or other facilities-related disciplines is preferred.
