The Unity Council is seeking a highly organized and detail-oriented Office Administrator to join our team. As the first point of contact for internal office and facilities-related inquiries, this role is responsible for maintaining a professional and welcoming environment for guests, interviewees, and organization stakeholders.
Key Responsibilities- Manage the reception area, ensuring effective and professional communication etiquette both internally and externally.
- Assist with implementing and enforcing overall Main Office staff operating procedures.
- Maintain and regularly update the Staff Directory, organization-wide email lists, and manage phone line tracking and assignment.
- Coordinate the maintenance and alteration of office areas and equipment, layout, arrangement, and housekeeping of office facilities.
- Process orders for office supplies, office equipment, etc. in accordance with company purchasing policies, green policy, and budgetary restrictions.
- Bookkeeping for purchases made for general main office operations.
- Maintain general office cleanliness and presentation.
- Maintain upkeep of kitchen, including stocking of supplies and cleanliness.
- Responsible for the maintenance and upkeep of office equipment, including copier, fax machine, etc.
- Process mail items (USPS, Fedex) and distribute mail.
- Support the HR department in the onboarding process for new hires and assist with offboarding procedures.
- Set up laptop equipment, food purchases, and other supplies as needed for meetings.
- Collaborate and oversee Main Office Interns if assigned.
- High school diploma; BS/BA in office administration or relevant field is preferred.
- Proven experience as an Administrative Assistant or Office Administrator.
- Knowledge of office administrator responsibilities, systems, and procedures.
- Proficiency in MS Office (Excel, Outlook, Word) and SharePoint.
- Effective and consistent communicator; written and verbal modes of communication.
- Demonstrated Bilingualism: English & Spanish.
- Ability to work independently.
- Ability to multi-task and prioritize work.
- Attention to detail, problem-solving skills, and excellent communication skills.
- Customer service oriented.
- Strong organizational and planning skills in a fast-paced environment.
