Job Summary

We are seeking a highly skilled and experienced Executive Administrative Assistant to join our team at Emory Healthcare. As a key member of our administrative staff, you will provide exceptional support to our executives, ensuring seamless day-to-day operations and contributing to the success of our organization.

Key Responsibilities
  • Provide administrative support to executives, including answering phones, screening calls, and taking messages or referring callers to appropriate staff members.
  • Greet visitors in a courteous manner, establish their needs, and refer them to the appropriate staff member.
  • Establish procedures and processes for setting up, organizing, and maintaining various departmental files.
  • Retrieve information upon request for internal and external use.
  • Arrange and schedule appointments, meetings, and domestic and/or international travel for one or several executives, prioritizing requests for meetings.
  • Prepare expense reports and prepare executives for daily activities.
  • Schedule and coordinate meetings and/or special events, reserving facilities, arranging for equipment and materials, and arranging for speakers, refreshments, or meals.
  • Develop agendas and arrange seating.
  • Chair meetings on specific operational issues, develop recommendations, and action plans.
  • Receive and review incoming correspondence, independently responding to routine matters and composing and editing responses for executive signature based on knowledge of policies and procedures and supervisor's views.
  • May sign for executive and review outgoing mail for consistency and conformance to policies and procedures.
  • Type correspondence, reports, and/or manuscripts, and may take dictation and transcribe from a machine.
  • Prepare charts and graphs for reports and presentations, and may meet with typesetters and publishers to publish communications materials.
  • Operate standard office equipment, including telephones, copiers, fax machines, and computers.
  • Gather, review, verify, and consolidate data for preparing and monitoring unit/department budget and budget variances.
  • Design and generate regular or special reports and/or statistics after collecting, analyzing, and organizing data.
  • Forecast expenditures and analyze needs, making recommendations for the purchase of major equipment.
  • Authorize expenditure of unit/department funds and may supervise or direct the work of clerical, secretarial, or other designated employees.
  • Distribute work assignments, interview applicants, train employees, and provide input to performance evaluations and other employee transactions.
  • Initiate and process employee transactions after review and approval, assist in investigating employee issues or concerns, and determine appropriate course of action.
  • Interpret departmental policies and procedures for lower-level employees and refer employees to appropriate areas for interpretation of organizational policies.
  • Review, revise, and communicate departmental policies and procedures and related forms in accordance with state, federal, and organization guidelines.
  • Determine when new policies are needed and may act as spokesman for the executive within the organization concerning departmental or divisional issues and/or activities.
Requirements
  • A Bachelor's Degree in business administration, communications, or a related field.
  • Three (3) years of office administration, senior secretarial, or related experience OR Seven (7) years of office administration, senior secretarial or related experience in lieu of a Bachelor's Degree.
  • Previous experience with various personal computer software applications.
  • The ability to type or keyboard 60 accurate words per minute.
