Job Summary

We are seeking an exceptional Administrative Assistant to provide high-level administrative support to two renowned research labs at the Whitehead Institute for Biomedical Research. This is a unique opportunity to leverage your outstanding organizational skills to enhance teaching and scientific exchange at a leading research institute in the vibrant area of Kendall Square, Cambridge.

The successful candidate will be responsible for providing administrative support to Faculty Members, including maintaining complex calendars, scheduling meetings, coordinating travel arrangements, and managing daily office duties. The ideal candidate will have a strong administrative background, excellent organizational abilities, and a high level of technical skill.

Key Responsibilities

  • Maintain Faculty member calendars, schedule meetings, and coordinate travel arrangements
  • Provide administrative support to Faculty Members, including answering routine inquiries and elevating matters to the Administrative Lab Manager or Faculty as needed
  • Coordinate meetings, seminars, conferences, and special events, including producing and disseminating schedules and meeting materials
  • Manage visitor appointments, postdoc and graduate student visits, and correspond with visitors
  • Compile complex class materials and assist Faculty Members in managing teaching responsibilities
  • Responsible for general office duties, including maintaining contacts, CVs, biosketches, letters, files, databases, office supply and equipment orders, copying, faxing, and sorting mail
  • Manage requests for letters of recommendation, obtain due dates, submission information, and first drafts of letters from requestees
  • Maintain publication lists and work with the Administrative Lab Manager and lab members to ensure publications are uploaded to appropriate journals
  • Assist lab members and the Administrative Lab Manager with planning events, socials, picnics, lab retreats, and outings
  • File expense reports for Faculty Members and ensure reimbursements are completed in a timely manner

Requirements

  • Bachelor's degree or equivalent experience and education
  • Minimum of 3-5 years directly related experience required
  • Strong administrative, office, technical skills required, including Microsoft Office, Excel, Airtable, and database management
  • Excellent organizational abilities and attention to detail required
  • Excellent proofreading, editing, and writing ability
  • Good judgment and ability to work independently with minimal supervision important
